Description

The Warranty Administrator provides administrative support to the service department. Core responsibilities include updating databases, assisting with report preparation, tracking warranty repair progress, and verifying documentation to process factory or distributor claims.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Warranty Management: Review warranty paperwork for proper documentation; prepare and submit warranty claims to vendors; negotiate warranty coverage disputes with vendors.
  • Claim Rejection Tracking: Resubmitting rejected or denied claims after correcting documentation errors.
  • Audit Preparation: Maintaining clean digital and paper archives to ensure readiness for routine OEM warranty audits. 
  • Labor Rate Maintenance: Assisting in maintaining dealer shop labor rates and warranty labor times within software systems. 
  • Parts Management Coordination: Returning defective warranty parts to manufacturers or tagging/storing them for required audit hold periods. 

Requirements

WORK ENVIRONMENT & PHYSICAL ABILITIES:

  • Frequent sitting, standing, bending, and stooping.
  • Manual dexterity for standard office equipment (keyboard, phone, copier).
  • Normal range of hearing and vision.
  • Lifting up to 50 lbs.
  • Ability to become forklift certified.

REQUIRED EDUCATION, EXPERIENCE, KNOWLEDGE & SKILLS:

  • High school diploma or equivalent.
  • Valid Driver’s License and clean driving record (MVR).
  • Strong customer service, written, and verbal communication skills.
  • Proficiency with Windows operating systems (Google Suite experience is a plus).
  • Ability to pass a background check, physical, drug screening, and General Abilities Assessments.
