This position serves as the primary support role for the Public Safety Training Department. Responsibilities include the accurate and timely processing of instructor and course paperwork, providing excellent customer service, and offering administrative support in alignment with the department’s mission. The ideal candidate is a responsible, self-motivated team player who thrives in a high-volume, fast-paced office environment. This position requires flexibility in work schedules, strong multitasking skills, the ability to manage frequent interruptions, and the capacity to meet defined timelines for assigned tasks. Our training program supports approximately 3,400 public safety courses annually and processes an estimated 60,000 student registrations. This role also provides administrative support to our state field directors.

Travel may be required to support fire service training programs, including weekends as needed.

Primary Functions

  • Serve as the primary point of contact for contracted training by processing course applications, generating instructor contracts, and distributing course paperwork for contracted training courses.

  • Administer all assignments for Fire Weekend: hotel reservations, course contracts, course paperwork, and issue certificates.

  • Communicate daily via email and telephone with students, field operations staff, and instructors to resolve issues, provide information, and respond to customer inquiries.

  • Act as a liaison for billing and invoicing related to students, departments, and training courses.

  • Proctor exams and functions as a test routers as requested.

  • Assists with annual audit review.

  • Other duties as assigned.

Minimum Qualifications

  • High School diploma or general equivalency and 3 years work experience, or Associate degree preferred.

  • 1-3 years job-related experience in a professional office setting.

  • Proficiency with Microsoft Office (Word, Excel, Outlook).

  • Ability to learn and use additional computer-based systems.

  • Ability to communicate effectively, both written and verbally.

  • Ability to effectively and proactively plan and prioritize work activities with general supervision.

  • Skilled at managing multiple tasks and priorities.

  • Must be detail oriented and highly organized.

Hourly Range $22.3787 - $23.9452 (commensurate with experience)
