The Faculty Affairs Program Coordinator II, under general supervision, works collaboratively with leadership to plan and coordinate day-to-day activities needed to coordinate and support initiates within the Faculty Affairs office in the Naresh K. Vashisht College of Medicine.

Responsibilities
Faculty Evaluation Management
Coordinates faculty evaluations, including annual reviews, mid-term reviews, promotion and tenure reviews, post-tenure reviews, department head reviews, and endowed position reviews.
Develops and delivers training on procedures, forms, and Faculty180 (electronic faculty dossier management system) use for all faculty evaluations.
Creates, updates, distributes, and evaluates templates and documents for faculty evaluation processes.
Provides administrative support to the VCOM Promotion and Tenure Committee.
Carefully reviews and verifies all documents associated with faculty evaluations (see above), offering detailed feedback, improvements to operations, and incorporates changes.
Manages the College-wide use of Faculty180 in all faculty evaluations.
Ensures compliance with system, university, and college policies and procedures.
Assists in establishing goals, objectives, policies and procedures.
Monitors processes and policy compliance and prepares operational and special reports.
Collaborates with departmental staff and faculty to support evaluation processes.
Collects data and creates reports for the Senior Associate Dean, Dean, and Vice Provost for Faculty Affairs review.Â
Faculty Affairs Support
Supports daily operations of the VCOM Office of Faculty Affairs, supporting other staff.
Serves as the primary contact for Faculty Affairs email inquiries.
Arranges for facilities services for faculty affairs office, including surplus and purchasing
Prepares vouchers, purchase orders and requisition and coordinates with department accounting
personnel and other support staff.
Collaborates with departments to facilitate faculty affairs initiatives.Â
Administrative Support
Provides administrative support, including calendar management, travel coordination, and assistance with budgeting, billing, and Emburse report preparation.
Manages sensitive academic communications and interactions across departments, the college, and the university.
Assists with official correspondence and communications.
Coordinates meetings, seminars, and special events, including logistics and scheduling.
Provides administrative support for faculty committees, including survey development, scheduling, and minute-taking. Serves as ALT-APO for the College’s office of faculty affairs.
Assists in establishing short- and long-term goals and strategic planning.
Cross-training in support of Faculty Affairs actions
Assists with the Affiliate Faculty Portal, including applications, faculty management, verification of employment, and addressing affiliate email concerns.
Assists with the faculty annual review process.
Coordinate and analyze affiliate portal records, databases, and usage statistics to support reporting and strategic planning.
Assists with data management and upkeep.
Assists with execution of and attends unit and college events as needed.
Develops and updates training materials and delivers training.
Required Education and Experience
Bachelor’s degree or equivalent combination of education and experience.Â
Four years of related experience in administrative or higher education.

Experience working with faculty review
Knowledge, Skills, and Abilities
Ability to multitask and work cooperatively with others.Â
Knowledge of word processing, spreadsheet, and database applications.Â
Verbal and written communication skills.Â
