Description

This position is responsible for entering, validating, and quality-checking client and program data into the Homeless Management Information System (HMIS) for HUD-funded projects. This role ensures data integrity, assists with audits, supports reporting needs, and maintains compliance with HUD data standards.

Essential Duties and Responsibilities

  • Ā Enter client, service, and housing data in HMIS accurately and timely
  • Ā Perform regular data audits and consistency checks
  • Ā Reconcile discrepancies, validate client records, and flag errors for review
  • Ā Assist in preparing data for HUD, CoC, and internal reports
  • Ā Aid in generating basic reports (e.g. enrollments, exits, service usage)
  • Ā Ensure all data entry practices comply with HUD/HMIS data standards and privacy/security policies
  • Ā Coordinate with program staff to clarify missing or erroneous data. Report concerns to supervisor
  • Ā Assist in identifying systemic processes that could be enhanced to ensure data entry can be completed in a timely manner.
  • Ā Support onboarding and training of staff/end users (as needed)
  • Ā Maintain documentation of data processes, workflows, and data standards
  • Ā Assist with data cleanup projects or migrations
  • Ā Serves on agency committees as requested.
  • Ā Carries out additional duties essential to the above-stated responsibilities as assigned.
  • Ā Is mindful of and integrates Trauma-Informed Care and its five principles in all duties and interactions with fellow staff, residents, and external partners.
  • Ā Maintains compliance with all required rules and regulations including Federal Confidentiality (42 CFR, Part 2), HIPAA, Medicaid and/or HUD, and any others.
  • Ā Regular attendance at work location.

Requirements

  • Ā Associate’s degree in human services or related field and 3 years’ experience with HUD reporting requirements, HMIS, data standards, or CoC systems OR
  • Ā Bachelor’s degree in human services or related field and a minimum of 6 months experience HMIS data standards
  • Ā In addition, the qualifications above, a valid New York State driver’s license is required and a reliable automobile
  • Ā Other combinations of experience and education that meet the minimum requirements may be substituted.
