Responsibilities
- Manage executive calendars, coordinate meetings, arrange travel, and prepare expense reports, invoices, and other administrative materials
- Compile agendas, presentations, supporting documents, and meeting materials for executive and management meetings
- Serve as the primary point of contact for internal and external stakeholders by managing communications, screening inquiries, and directing requests appropriately
- Prepare, edit, and distribute correspondence, reports, presentations, and other business documents while maintaining accuracy and professionalism
- Organize and maintain executive files, records, mail distribution processes, and department supplies to support efficient operations
- Build and sustain effective working relationships with executives, business partners, and external stakeholders while handling sensitive information with discretion
- Coordinate and execute special projects by managing timelines, requirements, and deliverables to ensure successful completion
Qualifications
- Associate degree in Business Administration, Accounting, Finance, or a related field preferred
- Minimum 3 years of administrative support experience, preferably within finance, accounting, or business operations
- Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint
- Experience working with ERP, accounting, or other enterprise business systems a plus
- Strong organizational skills with attention to detail and accuracy
- Ability to handle confidential and sensitive information with discretion
- Excellent communication and interpersonal skills
- Basic financial and mathematical skills, including working with budgets, invoices, percentages, and reconciliations
