Clinical Staffing Specialist – Healthcare Scheduler

Full-Time | Hyrbid: Onsite & Field-BasedWilliamsville Corporate Office + Travel to Western New York Facilities

 

Help keep clinical teams supported, facilities staffed, and resident care moving forward across Western New York.

Elderwood Staffing Solutions is expanding its internal clinical float pool and seeking a highly organized, responsive Clinical Staffing Specialist. You’ll coordinate the placement of clinical employees across Elderwood’s skilled nursing and assisted living communities, balancing facility needs, employee availability, clearance requirements, and scheduling commitments.

 

This is a fast-moving, multi-site coordination role for someone who can see the full staffing picture, respond calmly when priorities shift, and build strong working relationships with clinical employees and facility leaders.

What Is Elderwood Staffing Solutions?

Elderwood Staffing Solutions, or ESS, is Elderwood’s internal clinical float pool. ESS employees work across approved Elderwood locations to help facilities address open shifts, staffing changes, census needs, and other workforce demands.

As the Clinical Staffing Specialist, you’ll serve as a central connection point between ESS employees and participating facilities—helping place the right staff where they are needed most.

Work Arrangement and Travel

This is a full-time, hybrid and mobile position. Work will be performed from Elderwood’s corporate office in Williamsville and onsite at participating Western New York facilities.

 

Travel will be more frequent during the initial onboarding period so you can meet key facility partners, understand each location’s staffing needs, and establish strong working relationships. Ongoing facility travel will remain part of the position based on operational needs.

 

A company laptop will be provided so you can work effectively from the corporate office and while supporting facilities onsite.

Schedule and Responsiveness

This position follows a regular full-time work schedule and does not have a formal on-call rotation. However, clinical staffing needs can be time-sensitive. The successful candidate must demonstrate reasonable flexibility when a critical communication, coverage issue, or active staffing task requires completion beyond the typical end of the workday.

Responsibilities

What You’ll Own as the Clinical Staffing Specialist – Healthcare Scheduler

  • Serve as the primary scheduling resource for ESS employees and participating facilities.
  • Coordinate initial assignments after employees complete orientation and receive Human Resources clearance.
  • Use the master staffing schedule to identify openings that may be filled by full-time and part-time ESS employees.
  • Compile and distribute open shift needs weekly and as urgent needs arise.
  • Prepare and continually revise daily staffing sheets as assignments and facility needs change.
  • Maintain accurate records of assignments, per diem shift pickups, employee availability, and facility clearances.
  • Review monthly hours in UKG/Kronos to ensure employees meet the scheduling commitments associated with their employment status.
  • Track attendance and maintain accurate supporting records.
  • Communicate scheduling changes, open needs, and assignment updates promptly to employees and facility partners.

The ESS team also supports eight assisted living communities throughout Western New York.

Qualifications

  • Minimum of Associates degree (Bachelors preferred)
  • Minimum of six (6) years of related experience in a high paced environment preferably in staffing/scheduling or operations
  • Proficiency in Microsoft Excel
  • Prior experience with scheduling platforms, specifically Kronos, strongly preferred
  • This position requires regular interaction with residents, coworkers, visitors, and/or supervisors. In order to ensure a safe work environment for residents, coworkers, visitors, and/or supervisors of the Company, and to permit unfettered communication between the employee and those residents, coworkers, visitors, and supervisors, this position requires that the employee be able to read, write, speak, and understand the English language at an intermediate or more advanced level.
