Position Summary

The Director of Athletics is responsible for the overall planning, operations, and evaluation of Boys & Girls Clubs of the Colorado River (BGCCR) athletic programs, including strategic and operational planning, administration, promotions, community relations, staffing, facility use, safety, security, and risk management. The Director of Athletics also supervises and trains athletics staff and recruits, trains, and supervises athletic volunteers.

This role does not require the Director of Athletics to coach teams directly; however, prior coaching experience is a plus and helps inform program planning and staff/volunteer training. Hours will vary depending on athletic season and club activities, and the Director of Athletics must be present at games, camps, and other athletics-related activities, including evenings and weekends as needed.

Primary Duties and Responsibilities

  • Work with the senior management team to coordinate, plan, and implement long-range objectives and strategies for athletics programs in conjunction with the BGCCR organizational mission.
  • Develop and implement sports membership and action plans.
  • Ensure that registration processes for each sport are continually reviewed and modified to provide a professional registration service to all customers.
  • Advocate for and represent Boys & Girls Clubs athletics programs in the local sports community.
  • Recruit, screen, select, monitor the performance of, and recognize volunteers in accordance with Boys & Girls Clubs policies and procedures.
  • Provide all necessary training and communication to volunteers and contract personnel.
  • Ensure excellent customer service to parents, volunteers, and players.
  • Resolve customer, community, and staff concerns and complaints promptly and professionally.

Operational Duties and Responsibilities

  • Develop, plan, organize, publish, and distribute schedules for practices, games, and special events related to assigned sport programs in a timely manner.
  • Plan and implement player allocations and coaching assignments to teams.
  • Ensure policies and procedures are followed in reviewing, securing, and scheduling facilities for practices, games, and clinics.
  • Oversee site management, which may include opening, setting up, and closing sites, and monitoring games; make decisions and solve on-site problems regarding schedule changes, player eligibility, and player/parent/coach conduct and discipline, as needed.
  • Ensure owned and rented facilities are used according to established rules and maintained in good condition.
  • Recruit, hire, and secure officials for games, leagues, and tournaments, including negotiating and executing officiating contracts.
  • Write, maintain, and enforce league bylaws and rules for each assigned sport program.
  • Oversee scorekeeping and maintain accurate scores, standings, and records for league and tournament play.
  • Write and distribute league and tournament schedules, and assist coaches with practice scheduling.
  • Plan, organize, and run camps and clinics for various sports throughout the year.
  • Maintain a safe environment at all times, including during all games, practices, tournaments, camps, and clinics.
  • Schedule and oversee the ordering, issuance, maintenance, return, storage, and inventory of equipment and supplies.

Marketing and Communications Duties and Responsibilities

  • Plan and implement seasonal and annual marketing strategies and branding efforts.
  • Develop relationships with schools, clubhouses, and other organizations to maximize exposure and coordinate distribution of announcements and registration materials in promoting the athletic programs.
  • Develop, draft, and distribute parent/player/coach communications announcing relevant deadlines, seasons, events, and other information.
  • Oversee the purchasing and distribution of player awards and coaches' gifts.
  • Serve as the point of contact for athletic operations.
  • Serve as social media manager for Athletics channels, including Facebook, Instagram, and Twitter/X.

Qualifications

Education and Experience

  • Bachelor's degree from an accredited college or university in Sports Management, Physical Education, Recreation, or a related field preferred; equivalent combination of education and experience will be considered.
  • Minimum of two (2) years of experience in athletics program administration, coaching, or recreation management, preferably in a youth-serving or nonprofit organization.
  • Prior supervisory experience, including managing staff and/or volunteers, strongly preferred.
  • Experience coaching one or more sports is a plus, though not required for this role.
  • Experience running sports leagues, including scheduling, officiating, and rules administration.
  • Experience running sports tournaments, including experience working with tournament promoters.
  • Experience planning and running camps and clinics for various sports.

Skills and Abilities

  • Strong organizational, scheduling, and problem-solving skills, with the ability to manage multiple sports seasons and programs simultaneously.
  • Demonstrated ability to recruit, train, supervise, and motivate volunteers and staff.
  • Excellent verbal and written communication skills, including comfort speaking publicly and representing the organization in the community.
  • Ability to work closely and build lasting relationships with local schools.
  • Ability to work closely and build lasting relationships with local sports leagues and travel ball teams.
  • Working knowledge of social media platforms and basic marketing/promotional practices.
  • Sound judgment in handling player, parent, coach, and staff conduct issues and conflict resolution.
  • Proficiency with standard office and scheduling software (e.g., Microsoft Office, registration/scheduling platforms).

Certifications and Requirements

  • Valid driver's license and reliable transportation; ability to travel between facilities and program sites.
  • CPR, First Aid, and AED certification, or ability to obtain within 30 days of hire.
  • Successful completion of a background check, in accordance with Boys & Girls Clubs of America and BGCCR child safety policies.
  • Must be at least 21 years of age.

Physical Requirements and Work Environment

  • Ability to work outdoors in varying weather conditions at fields, courts, gymnasiums, and other athletic facilities.
  • Ability to stand, walk, bend, and move throughout facilities for extended periods, including during games and events.
  • Ability to lift and carry athletic equipment and supplies (up to 25 lbs.).
  • Schedule includes regular evening, weekend, and holiday hours depending on athletic season and club activities; must be present at games, camps, practices, and special events as required.
