Position Summary

We are seeking a highly organized and detail-oriented Inventory Operations Coordinator to support our inventory procurement and purchasing processes. This role is responsible for accurate data entry, maintaining inventory records, processing purchase orders, and assisting with inventory analysis to ensure optimal and accurate stock levels across our retail, e-commerce, and wholesale channels. The ideal candidate enjoys working with numbers, has exceptional attention to detail, and is comfortable working with large amounts of product data in spreadsheets and inventory systems.

 

Responsibilities

Inventory Procurement & Data Entry

  • Enter purchase orders into inventory systems accurately and efficiently.
  • Process inventory receipts and update inventory records.
  • Verify pricing, quantities, and product information against vendor documentation.
  • Coordinate with vendors regarding purchase order confirmations and shipment updates.
  • Maintain organized purchasing documentation and vendor records.

Inventory Analysis

  • Monitor inventory levels and identify low-stock or overstock situations.
  • Assist with replenishment recommendations based on historical sales.
  • Assist in preparing weekly and monthly inventory and purchasing reports.
  • Identify discrepancies between physical inventory and system inventory.
  • Assist with cycle counts and inventory reconciliations.
  • Analyze inventory movement and report unusual trends.



Cross-Functional Support

  • Work closely with Operations, Finance, Warehouse, and E-Commerce teams.
  • Help maintain inventory accuracy across OMS, Shopify, and related systems.
  • Support new product setup and inventory launches.
  • Assist with special inventory projects and process improvements.

 

Qualifications

  • 1–3 years of inventory, purchasing, operations, or administrative experience.
  • Excellent attention to detail and organizational skills.
  • Strong Microsoft Excel or Google Sheets skills.
  • Comfortable working with ERP or inventory management systems; experience with Shopify or Netsuite a plus.
  • Ability to prioritize multiple projects and meet deadlines.
  • Strong communication skills and numerical aptitude.
  • Retail, wholesale, or e-commerce experience preferred.

  • Excel formulas (VLOOKUP/XLOOKUP, Pivot Tables)
  • Basic inventory reporting

  • Vendor communication
