Position Summary


The Submission Coordinator is responsible for executing licensing submissions. This role prepares, submits, and tracks concept and print-on-demand (POD) submissions.

Submission Coordinators are assigned to specific licenses while operating within a flexible model that allows for cross-support as submission volume and business needs require.


Essential Duties and Responsibilities


  • Prepare and submit concept and pre-production materials for retail licensing approvals.
  • Execute print-on-demand (POD) submissions for the ecommerce division.
  • Process submissions across all stages prior to final production in alignment with established priorities.
  • Track submission and approval statuses and update internal systems accurately.
  • Follow licensor guidelines, submission requirements, and internal SOPs when preparing materials.
  • Communicate submission progress, feedback received, and outstanding needs to the Licensing Trafficker.
  • Support revisions, resubmissions, and rush submissions as directed.
  • Perform work across multiple software applications, including Adobe Photoshop, Illustrator, and Microsoft Office.
  • Identify errors, inconsistencies, or missing information and take corrective action prior to submission.
  • Flex across licenses and teams to support workload surges, coverage needs, or physical sample processing.
  • Participate in team meetings, training, and process improvement discussions.
  • Maintain a collaborative, adaptable, and detail-oriented approach to work.


Minimum Qualifications

  • Familiarity with Microsoft Office Suite, including Excel.
  • Strong attention to detail and accuracy.
  • Ability to manage assigned tasks efficiently within defined timelines.
  • Clear verbal and written communication skills.
  • Ability to learn and follow established workflows and submission standards.

Physical Requirements

  • Sit, stand, bend, lift occasionally lifting
