BIG PICTURE:

We’re a high-output YouTube studio producing fast-paced, high-volume content — and we’re looking for a Production Administrative Assistant to support our Production team across the full production lifecycle. This role is for someone who is extremely organized, proactive, and calm under pressure. You’ll help keep production moving by managing schedules, tracking deliverables, coordinating logistics, organizing documents, and ensuring follow-ups happen on time. You should be the type of person who naturally builds structure, loves lists, takes great notes, and doesn’t wait to be told what to do next.

We’re looking for someone with experience in project management and automation, who is a fast typer and can work a flexible schedule to support production needs as they arise. You will also work with leadership across multiple departments to compile key notes and updates, ensuring clear distribution, follow-through, and reporting to our Founder.


HOW YOU’LL SPEND YOUR TIME:

  • Providing day-to-day admin and coordination support to the Production team
  • Managing calendars, calls, production meetings, and internal check-ins
  • Attending meetings and taking detailed notes; turning discussions into clear action items + owners
  • Compiling all Video Recap notes and other key meeting notes, distributing them to Sr. Producers / C-level executives / production teams, and ensuring follow-up actions are tracked through completion
  • Working with leadership across departments to compile notes across teams and provide concise updates/reporting to the Founder
  • Maintaining organized files and documentation (Google Drive / production trackers / templates)
  • Creating simple reports, recaps, and production updates for leadership
  • Supporting special projects and urgent production needs as they come up

 

WHAT YOU HAVE:

  • 4+ years in an admin/coordinator role (production or studio experience is a plus)
  • Strong written + verbal communication
  • Extremely organized, detail-oriented, and great at follow-through
  • Excellent in Google Workspace (G Suite) and Slack
  • Able to prioritize fast in a high-volume, fast-paced environment
  • Comfortable using tools to stay efficient (AI tools a plus)
