Job Summary:

The Transportation Operations Specialist plays a key role in coordinating fleet operations, transportation logistics, billing functions, and regulatory compliance. This position ensures the smooth execution of sales orders, billing for multiple clients, work order and purchase order management, and supports Tire Division leadership with cross-functional projects and reporting responsibilities.

 

Principal Duties and Responsibilities:

  • Manage transportation-related billing activities for multiple clients.
  • Enter and process sales orders using the Kinetic system for multiple locations.
  • Oversee all aspects of truck and trailer operations, including Work Orders (WO), Purchase Orders (PO), oil changes, tire orders, registrations, and general maintenance documentation.
  • Perform collections on outstanding billing accounts and ensure timely customer payments.
  • Acquire and maintain transportation permits and ensure compliance with local, state, and federal regulations.
  • Collaborate with Tire Division leadership on special projects related to environmental compliance, tire management, and billing processes.
  • Support the Fleet Manager with transportation-related tasks and ongoing projects.
  • Maintain organized filing systems for truck, vendor, and customer documentation.
  • Assist the Office Manager with billing functions and administrative reporting.
  • Pull and verify receipts for bills paid and assist with monthly financial reviews.
  • Prepare and submit the Monthly Revenue Report and IFTA (International Fuel Tax Agreement) Report.

 

 

Knowledge, Skills and Abilities Required:

  • Prior experience in transportation, fleet operations, or logistics administration preferred.
  • Familiarity with billing processes and financial documentation.
  • Knowledge of transportation permits, compliance, and reporting (e.g., IFTA).
  • Proficient in using enterprise systems such as Kinetic (Epicor) or similar ERP platforms.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent attention to detail and communication skills.

Ability to work collaboratively across departments and with management.
