Our team works collaboratively across sales, operations, service, and administrative functions to support our customers and the successful completion and ongoing support of solar projects. We are seeking a dependable, organized, and customer-focused Office Assistant to support the day-to-day operations of our Cahokia, Illinois location. This position serves as an important point of contact for customers, visitors, vendors, and employees while providing general administrative and operational support to the team. Position Summary The Office Assistant is responsible for supporting the daily administrative and front-office needs of the Cahokia location. Responsibilities include answering and directing phone calls, greeting visitors, receiving and organizing shipments, assisting with product returns and RMAs, maintaining office organization, and providing general administrative support. The ideal candidate is professional, organized, dependable, and willing to assist with a variety of responsibilities as business needs arise. Essential Duties and Responsibilities Answer and direct incoming telephone calls in a friendly and professional manner. Greet and assist customers, visitors, vendors, and employees. Receive, inspect, document, and organize incoming shipments and deliveries. Process product returns and Return Merchandise Authorizations (RMAs) accurately and in a timely manner. Notify appropriate team members when shipments, materials, or returns arrive. Assist with tracking and maintaining records related to shipments, deliveries, and returns. Maintain a clean, organized, and welcoming front office and reception area. Perform general administrative duties, including filing, data entry, copying, scanning, and document organization. Handle routine office correspondence, messages, and communications. Assist customers and employees with general questions and direct inquiries to the appropriate team member when needed. Prepare documents, reports, correspondence, and other materials as requested. Assist with maintaining office supplies and notifying appropriate personnel when supplies need to be replenished. Provide general administrative and operational support to management and other team members as needed. Maintain professionalism and confidentiality when handling company, customer, and employee information. Perform other duties and responsibilities as assigned to support the needs of the business. QualificationsQualifications High school diploma or equivalent required. Previous office, administrative, receptionist, customer service, or related experience preferred. Strong organizational skills and attention to detail. Professional and courteous verbal and written communication skills. Ability to communicate effectively with customers, vendors, employees, and management. Basic computer proficiency, including Microsoft Office applications and general data entry. Ability to learn and utilize company systems and processes. Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment. Dependable, punctual, and able to work independently while also contributing as part of a team. Willingness to assist with a variety of tasks as operational needs arise.   Physical Requirements and Work Environment Ability to perform work primarily in an office environment. Ability to sit, stand, walk, bend, and reach as necessary throughout the workday. Ability to operate standard office equipment, including computers, telephones, printers, scanners, and copiers. May occasionally be required to lift, carry, or move packages, office supplies, or other materials associated with incoming shipments and deliveries.
