Job DetailsLevel: ExperiencedJob Location: MI Caledonia - Caledonia, MI 49316Position Type: Full TimeEducation Level: 4 Year DegreeTravel Percentage: Up to 25%Job Shift: FirstJob Category: Marketing PRIMARY FUNCTION:   Reporting to Director - Marketing, the Event Marketing Specialist manages the development, promotion, and coordination of all event marketing initiatives for Viking Group and related companies. The Event Marketing Specialist owns the planning, coordination, and execution of marketing events for Viking Group and its related companies. This role manages the details that turn trade shows, industry meetings, internal trainings, customer visits, and branded experiences into well-run, on-brand opportunities to support business development, customer engagement, and market visibility. The ideal candidate is a proactive, detail-driven marketing professional who can manage competing priorities, anticipate needs, and keep cross-functional event work moving. This position requires ownership of assigned events and related processes, along with the judgment to coordinate vendors, internal stakeholders, timelines, materials, and follow-up activities with limited day-to-day direction. MAJOR DUTIES AND RESPONSIBILITIES:  Lead planning and execution for assigned corporate events, including trade shows, customer visits, trainings, industry meetings, and internal events. Own event logistics from planning through closeout, including registration, shipping, show services, booth assets, deadlines, staffing details, and vendor coordination. Serve as a primary point of coordination for internal stakeholders, ensuring event schedules, travel details, agendas, materials, and expectations are clearly communicated. Partner with vendors, sales teams, product stakeholders, and marketing colleagues to deliver consistent branding, signage, promotional materials, booth experiences, and customer-facing event support. Manage event inventory, promotional items, and branded materials, including storage, tracking, restocking, quality checks, and readiness for upcoming events. Maintain and improve the master event calendar, helping the marketing team plan capacity, deadlines, travel needs, and overlapping event demands. Coordinate the promotional merchandise process, including sourcing, ordering, proofing, budget awareness, delivery timing, and usage tracking. Collaborate with the marketing team on event-related communications, campaigns, collateral, digital promotion, and follow-up materials that support event objectives. Lead post-event wrap-ups for assigned events, including feedback collection, vendor follow-up, lead or attendee coordination, lessons learned, and recommendations for future improvements. Bachelor’s degree in Marketing, Communications, Business, Hospitality/Event Management, or related field preferred. 2–4 years of marketing, event coordination, trade show, hospitality, or related project coordination experience preferred. Demonstrated ability to manage event timelines, vendor details, deadlines, materials, and stakeholder communication with accuracy and follow-through. Strong organizational skills with the ability to manage multiple events, priorities, and details in a fast-paced environment. Professional communication skills, both verbal and written, with the ability to work effectively with internal teams, vendors, customers, and sales stakeholders. Proficient in Microsoft Office Suite; experience with event platforms, project management tools, CRM systems, or marketing automation tools is a plus. Resourceful, accountable, and comfortable taking initiative to solve problems, improve processes, and keep event work moving. The Event Marketing Specialist is expected to manage assigned event work with clear ownership, balancing multiple timelines, vendors, internal requests, brand requirements, and shifting priorities. Day-to-day problem solving may include resolving shipping or show service issues, coordinating last-minute changes, aligning materials with event objectives, and identifying practical improvements for future events. The role requires sound judgment, strong communication, and the ability to keep details moving while protecting the quality and consistency of Viking’s brand presence.
