SAAZ is seeking a highly organized and proactive Office Manager to support the day-to-day operations of our office. This individual will help ensure the workplace runs efficiently by coordinating office activities, managing inventory and supplies, assisting with procurement, receiving shipments, and creating a welcoming environment for employees and visitors. Key Responsibilities:
- Coordinate and support the daily operations of the office to ensure a productive and organized work environment.
- Serve as the primary point of contact for office-related needs and administrative support.
- Maintain accurate inventory of office supplies, equipment, and consumables; proactively reorder items as needed.
- Assist with procurement activities, including obtaining quotes, placing purchase orders, tracking deliveries, and coordinating with vendors.
- Receive, inspect, and verify incoming shipments against purchase orders and packing slips.
- Document received materials and update inventory systems promptly.
- Coordinate the shipment of products, equipment, and materials as needed.
- Resolve discrepancies involving damaged, missing, or incorrect shipments with vendors.
- Maintain relationships with office vendors and service providers to ensure timely support and issue resolution.
- Coordinate meeting room scheduling and ensure common areas are clean, organized, and fully stocked.
- Welcome guests, clients, and visitors in a professional, friendly, and courteous manner.
- Assist with coordinating office events, team meetings, and employee activities.
- Support onboarding logistics for new employees, including workspace setup and office supplies.
- Identify opportunities to improve office processes and operational efficiency.
- Perform other administrative and operational duties as assigned.
Qualifications:
Required Qualifications:
- Associate or bachelor’s degree or equivalent experience.
- U.S. permanent residency or U.S. citizenship.
- 2+ years of experience in office management, administrative operations, inventory management, purchasing, or a related role.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office Suite and common business software.
- Self-motivated, dependable, and driven with strong problem-solving skills.
- Professional demeanor with a customer service mindset.
- Friendly, approachable, and welcoming to employees, clients, and visitors.
- Ability to work independently while collaborating effectively with cross-functional teams.
- Ability to lift and move packages up to 25–40 pounds as needed for receiving and inventory activities.
Desired Qualifications:
- Experience with inventory control, receiving, stock organization, and purchase order processing.
- Experience working in a manufacturing, engineering, semiconductor, electronics, or laboratory environment.
- Experience with ERP/MRP systems such as SAP, NetSuite, Oracle, Microsoft Dynamics, or similar.
- Knowledge of purchasing best practices, inventory forecasting, and vendor performance management.
