Position Summary:

This is an exciting opportunityĀ for anĀ Executive Assistant supporting theĀ ChiefĀ Business Development OfficerĀ and the Business Development Leadership Team.

This role is ideal for an experienced Executive Assistant who can operate with a high degree of professionalism, discretion, and independence while managing a broad range of administrative responsibilities. The positionĀ engagesĀ primarilyĀ withĀ externalĀ Flagship stakeholdersĀ and plays a key role in supporting Flagship’s partnering efforts across the pharmaceutical ecosystem.

The successful candidate will be highly detail-oriented, possess exceptional organizational skills, and be able to proactively build strong relationships across the organization. Critical thinking, creative problem-solving, and the ability to ensure effective communication and follow-through are essential. The role requires someone who can quickly develop organizational knowledge, anticipate needs, and support complex business priorities.

This position is based in our Cambridge office and requires onsite presenceĀ at least 4 daysĀ per week.

Responsibilities:

ReportingĀ toĀ theĀ Senior Manager, Executive and Admin Services, the Executive Assistant’s responsibilities include, but are not limited to:

• Coordination of calendarsĀ to enableĀ the operational day-to-day activities ofĀ ourĀ ever-changingĀ venture creation company.
• Coordinate domestic and international travel plans includingĀ managingĀ expense reporting and reimbursements.
• Responsible for proactively coordinating meetings, creating agendas, and managing internal and external communications on behalf of the department.
• Act as primary point of contact for potential external partners ensuring a professional and welcoming representation of the organization
• Collaborate with other Executive Assistants and administrative staff members to coordinate calendars, manage requests, and facilitate events. Provide back-up coverage to other Executive Assistants as necessary.
• Manage projects for a variety of initiatives that foster intradepartmental collaboration and advancing the priorities of the department.
• Complete a broad range ofĀ in-officeĀ administrative tasks includingĀ but not limited to greetingĀ guests,Ā planningĀ and coordinatingĀ events, orderingĀ meals

Requirements:

• At leastĀ 7 – 10Ā years of experience providingĀ administrativeĀ support toĀ C-suiteĀ executives.
• Experience managing external relations orĀ serving as a liaison betweenĀ executiveĀ leadership andĀ externalĀ stakeholdersĀ 
• High level of commitment, availabilityĀ and responsiveness outside coreĀ workingĀ hoursĀ includingĀ weekends as needed.
• Comfort and readinessĀ toĀ work in a dynamic, demanding, and fast-paced environment.
• Exceptionally organized with keen attention to detail with the ability to shift focus and priorities, when necessary, under pressure and within deadlines.
• Outstanding verbal and written communication skills; strong ability to inform and engage through written communications.
• Excellent interpersonal and relationship-building skills.
• Professional, positive manner, with experience in a role requiring a high degree ofĀ discretion andĀ confidentiality.
• Excellent problem-solving skills and resourcefulness; ability to follow-through and close loops.
• Strong work ethic and an entrepreneurial spirit to accommodate high level of responsibility and multiple priorities. Energetic, enthusiastic, can-do attitude, and interested in learning within a fast-paced, fast-growth organization.
• Proficient in MS Word and PowerPoint with Advanced Outlook organizational skills.

The salary range for this role is $120,000 - $145,000. Compensation for the role will depend on a number of factors, including a candidate’s qualifications, skills, competencies, and experience. Flagship Pioneering currently offers healthcare coverage, annual incentive program, retirement benefits and a broad range of other benefits.
