Job Description

TheĀ Project CoordinatorĀ willĀ facilitateĀ and manage business operations and non-portfolio priorities for R&D and Global Medical DD&T (RDGM-DDT),Ā such asĀ culture initiatives, business initiatives including supporting process and operational excellence,Ā department training coordination,Ā and employee onboarding. They will provideĀ overall coordination, project management support, and on-siteĀ logisticsĀ within a cross-functionalĀ matrix environment.Ā The Project Coordinator is key toĀ strengtheningĀ the culture and engagement of the functionĀ --Ā bringingĀ people together, drivingĀ smooth and frictionless processes thatĀ buildĀ connection, and fosterĀ a strong senseĀ of community across RDGM-DDT. This role is well suited to an experienced executive or administrative professional looking to grow into a project coordination and operations role.

  • Independently drive on-site logistics coordination for RDGM-DDT events and key face-to-face meetings – including room planning and setup, catering coordination, visitor access and welcome, AV and technology readiness, and serving as the on-site point of contact – to deliver a seamless, welcoming event experience from planning through on-site execution that brings colleagues together and reinforces a positive, connected team cultureĀ 

  • Provide project management support for designated business & culture initiatives, including tracking of milestones, follow up on action items, facilitation of cross-workstream communication, and proactive outreach to project teams toĀ identifyĀ and address project needsĀ 

  • Enable maturation and execution of keyĀ RDGM-DDT processesĀ through project management supportĀ for operational excellence and process designĀ workstreams,Ā includingĀ collating of key metrics, maintenance of process artifactsĀ including DAIĀ framework,Ā andĀ coordination of cross-functional stakeholder working sessionsĀ and tracking action items and milestonesĀ 

  • Serve as training coordinator forĀ RDGM-DDT, including managing the training curriculumĀ byĀ coordinating with RDGM-DDT and cross-functional stakeholders on requirementsĀ and monitoringĀ training complianceĀ 

  • Develop andĀ maintainĀ materials and MS Teams and SharePoint-based systems for managing RDGM-DDT operations-associated informationĀ such asĀ organizationĀ charts, headcount tracking, and distribution lists. Keep team sites and information platforms current by posting materials and updatesĀ 

  • Coordinate the employee onboarding experience, with emphasis on the in-person first-day journey, including first-day access and workspace readiness, technology and other resource requests, welcome announcements, and other new hire checklist itemsĀ 

Experience

  • Bachelor’s degree preferred

  • 5-8 years of administrative, business operations, or project coordination experience, with exceptional project management skills; experience as an executive or administrative assistant growing into an operations or coordination role is well suited to this position

  • 2 years experience in pharmaceuticals, biotechnology, or technology preferred, or evidence of familiarity with relevant processes, workflows, and terminology

  • Experience with Takeda’s processes would be highly desirable

U.S. Base Salary Range:

$58,400.00 - $91,740.00


The estimated salary range reflects an anticipated range for this position. The actual base salary offered may depend on a variety of factors, including the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job. The actual base salary offered will be in accordance with state or local minimum wage requirements for the job location.Ā 

U.S. based employees may be eligible for short-term and/ or long-term incentives. U.S. based employees may be eligible to participate in medical, dental, vision insurance, a 401(k) plan and company match, short-term and long-term disability coverage, basic life insurance, a tuition reimbursement program, paid volunteer time off, company holidays, and well-being benefits, among others. U.S. based employees are also eligible to receive, per calendar year, up to 80 hours of sick time, and new hires are eligible to accrue up to 120 hours of paid vacation.Ā
