The Executive Assistant provides high-level administrative support for executives and their team to manage a department or business unit. Â This position may also train and support other clerical staff. Â This position reports to executive level officers in the organization. Â
Responsibilities
- Manages and maintains executives’ schedules and as well as supports the department or business unit meeting senior leadership schedule.
- Prepares invoices, reports, letters, financial statements, budget and other documents using MS Office & Google Suite technologies.
- Lead the management of the team’s data and supports the use of centralized data management for a team.
- Navigate other departments and business units to facilitate a streamlined communications process across teams.Â
- Performs general office duties such as ordering supplies, using various support systems, including PTO management, expense management, HRIS management, and PO management.
- Prepares responses to email correspondence containing routine inquiries.
- Files and retrieves corporate documents, records and reports.
- Prepares agendas and makes arrangements for executive meetings.
- Serves as secretary in meetings and records minutes.
- Assists in the setup and oversight of administrative policies and procedures for offices and/or organizations.
- Performs duties as requested by the Executive team.
Qualifications
- Bachelor’s  degree preferred
- High School Diploma required
- At least 10 years’ experience supporting executive management, preferably in a C Suite environment
- Demonstrated ability to handle confidential information appropriately.
- Attention to detail in composing, typing, proofing materials, establishing priorities, flagging items for attention and meeting deadlines.
- Excellent verbal and written communication skills
- Excellent internal and external customer service skills
- Excellent Microsoft Office application experience
- Professional appearance and demeanorÂ
- Strong customer service skills
- Ability and availability to work extended hours including nights, weekends as needed by the Executive.
We are excited to share that the base salary range for this position is $73,769.28 - 98,359.04 USD Annual. Â This position is also eligible for an annual discretionary bonus, targeted at 3%. Â NFI takes into consideration applicants' qualifications, experience, education, and geographic location when determining a starting rate of pay. Â
