About the Position:


The Scheduling & Administration Coordinator plays a vital role in supporting the daily operations of our inpatient programs by coordinating client schedules, managing administrative processes, and ensuring seamless communication across clinical departments. This position is ideal for a highly organized, detail-oriented professional who enjoys working in a collaborative healthcare environment and thrives in a fast-paced setting where no two days are the same. 


Schedule:


Sunday - Thursday: 8:00 am - 4:30 pm


Your Role:

  • Coordinate scheduling for client appointments, groups, transfers, and other clinical services across assigned inpatient departments. 
  • Maintain accurate schedules, documentation, billing codes, and service records within the electronic medical record. 
  • Collaborate with clinical teams, Client Services, Family Wellness, and other departments to ensure continuity of care throughout the client experience. 
  • Schedule and coordinate outside appointments and services from admission through discharge. 
  • Monitor scheduling metrics, complete audits, and maintain data accuracy to support operational excellence. 
  • Cross-train across multiple scheduling functions to provide coverage and ensure seamless department operations. 
  • Prepare daily team meeting materials and support administrative workflows, including room scheduling and service requests. 
  • Deliver exceptional customer service when communicating with clients, families, and internal stakeholders. 
  • Assist with special scheduling initiatives, weekend programming logistics, and other administrative projects as needed.

Qualifications:

  • High school diploma or equivalent required; associate's or bachelor's degree preferred. 
  • Previous administrative, scheduling, or healthcare coordination experience preferred. 
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment. 
  • Excellent communication, customer service, and interpersonal skills. 
  • High level of accuracy and attention to detail. 
  • Proficiency with Microsoft Office and the ability to learn new software systems. 
  • Comfortable working collaboratively across multidisciplinary teams. 
  • Experience in behavioral healthcare, substance use treatment, or a healthcare setting is a plus.

Compensation:


The base rate of pay for this position is $20.00 to $22.00 per hour. Actual pay is determined based on a number of job-related factors including skills, education, training, credentials, experience, scope and complexity of role responsibilities, geographic location, performance, and working conditions.
