 III. Job Summary

The Director of Financial Aid & Institutional Research provides strategic leadership for the University's financial aid operations while overseeing institutional reporting, compliance, and data management functions that support informed decision-making across the University. This position ensures compliance with federal, state, and institutional financial aid regulations while leading institutional reporting initiatives including IPEDS, the Common Data Set, and other required governmental and accrediting agency reports.

The Director serves as a key member of the Enrollment Management leadership team and partners with academic and administrative departments to provide accurate data, meaningful analysis, and strategic insights that advance Malone University's mission and enrollment goals.



IV. Essential Duties and Responsibilities

Financial Aid Leadership

  • Provide strategic leadership and daily management of the Financial Aid Office.
  • Ensure compliance with all federal, state, and institutional financial aid regulations, including Title IV requirements.
  • Develop, implement, and maintain financial aid policies and procedures.
  • Oversee awarding, packaging, verification, satisfactory academic progress, professional judgment, and reconciliation processes.
  • Maintain responsibility for annual audits, federal reporting, and program reviews.
  • Manage financial aid budgets and scholarship allocations in collaboration with Enrollment Management and Finance.
  • Supervise financial aid staff and foster a culture of exceptional student service.
  • Collaborate with Admissions, Student Financial Services, Registrar, and Academic Affairs to support enrollment and retention goals.
  • Serve as the University's primary financial aid compliance officer.

Institutional Research & Data Management

  • Serve as the University's Institutional Research lead.
  • Supervise Institutional Research staff members
  • Coordinate and submit all required federal, state, and institutional reports, including, but not limited to:
    • IPEDS
    • Common Data Set
    • Ohio Department of Higher Education reporting
    • Fall Fact Book
    • Federal and state compliance reports
    • Accreditation data requests
  • Ensure the integrity, consistency, and governance of institutional data.
  • Develop and maintain institutional dashboards and key performance indicators.
  • Respond to internal requests for institutional data and analysis.
  • Support strategic planning through data analysis and predictive modeling.
  • Maintain institutional definitions and reporting standards.

Strategic Enrollment Analytics

  • Partner with Enrollment Management leadership to evaluate enrollment trends.
  • Analyze financial aid leveraging and discount rate performance.
  • Assist in modeling scholarship strategies and financial aid optimization.
  • Provide data supporting recruitment, retention, persistence, and revenue forecasting.
  • Support annual enrollment projections and institutional planning.
  • Develop reports that help leadership evaluate strategic initiatives.

Leadership & Collaboration

  • Serve on University committees related to enrollment, compliance, planning, and assessment.
  • Collaborate with Information Technology regarding data integrity and reporting systems.
  • Work closely with Finance on reconciliation, budgeting, and institutional reporting.
  • Support accreditation efforts through data collection and reporting.
  • Represent Malone University in professional associations and state/federal training opportunities.
  • Perform other duties as assigned.

 


Other Duties

Fulfill other tasks as assigned to support the Admissions Department and university goals.

VI. Education and Experience

  • Bachelor’s degree
  • Five or more years of progressively responsible experience in higher education financial aid, institutional research, enrollment management, or a closely related field.
  • Advanced proficiency with Microsoft Excel and data management systems.
  • Experience with institutional reporting, data analysis, and compliance.
  • Demonstrated knowledge of federal and state financial aid regulations.
  • Ability to manage multiple complex deadlines simultaneously.
