Job Summary/Basic Function

Position Summary

The Payroll Coordinator performs a wide variety of record-keeping and payroll processing activities, including time reporting, processing wage and overtime payments, calculating and recording payroll deductions, and cross-training with the Senior Payroll Coordinator.

Essential Functions

  • Processing bi-weekly and student payrolls, including balancing and controlling earnings and deduction totals, calculating and preparing general ledger entries, inspecting automated system output, determining and correcting out-of-balance conditions, performing reconciliations to the general ledger, and document imaging.
  • Enhancing the efficiency of financial analysis and processing in Financial Operations by automating manual processes using Workday and other report-writing tools.
  • Remitting payroll-related expenses and withholdings to the appropriate parties.
  • Providing backup to the Senior Payroll Coordinator by cross-training for semi-monthly payrolls, tax payments, and other remittances and reports primarily prepared by the Senior Payroll Coordinator.
  • Processing payroll history adjustments, manual checks, and labor redistributions as required.
  • Monitoring federal work study hours to ensure compliance with governmental regulations and communicating with appropriate departments when necessary.
  • Maintaining payroll documents and records, including payroll processing procedures.

Other Duties and Responsibilities

  • Responding to internal and external payroll inquiries.
  • Providing employment history and wage and hour data where appropriate to prospective employers, mortgage companies and government agencies.
  • Ensuring confidentiality of all employee records and files.
  • Participating in inter-departmental committees and working groups as assigned.
  • Other duties as determined or assigned.

Supervisory Responsibilities

  • Not responsible for supervising others.

Requirements

  • High school diploma or equivalent
  • Two to three years of relevant payroll experience may substitute for education.

Minimum Work Experience

  • 1-3 years of relevant work experience

Independence of Action

  • Work progress is monitored by supervisor/manager; incumbent follows precedents and procedures, and may set priorities and organize work within general guidelines established by supervisor/manager.
