About the RoleĀ 

TheĀ ExecutiveĀ AssistantĀ will be responsible for providing high-level administrative support to Sound United’s Executive Leadership Team. The ideal candidate will serve as a trusted partner to executive leaders while also acting as the first point of contact for visitors and clients, ensuring a positive impression and smooth office operations.Ā 

This role will coordinate executive calendars, meetings, travel arrangements, communications, and other administrative activities that enable leaders toĀ operateĀ efficiently and effectively. AĀ portionĀ of this role will also include organizing and executing small- to mid-scale corporate events.Ā 

As a highly visible position, the Administrative Assistant will collaborate with leaders across the organization, exercise exceptionalĀ professionalismĀ and discretion, and handle sensitive and confidentialĀ information. Success in this role requires outstanding organizational skills, attention to detail, sound judgment, and the ability to thrive in a fast-paced environment. The individual will build strong working relationships with executive leaders and make a meaningful contribution to the overall effectiveness and efficiency of the organization.Ā

What You Will DoĀ 

  • Provide proactive, high-level administrative support to Executive Leaders, managing complex calendars, scheduling priorities, communications, travel arrangements, and dailyĀ logisticsĀ to maximize executive effectiveness and productivity.Ā 

  • Partner closely with executives to ensure they are informed of key priorities, deadlines, commitments, andĀ emergingĀ issues, helping themĀ anticipateĀ challenges and stay alignedĀ onĀ critical businessĀ objectives.Ā 

  • Serve as the primary point of contact for the front desk and reception area, professionally welcoming visitors, managing the Envoy check-in process, handling incoming mail and deliveries, and creating a positive visitor experience.Ā 

  • Coordinate andĀ facilitateĀ executive meetings, leadership team meetings, and other business gatherings by scheduling appointments, preparingĀ agendasĀ and meeting materials, tracking action items, recording meeting minutes, and managing on-siteĀ logisticsĀ such as conference rooms and catering.Ā 

  • Manage domestic and international travel arrangements for executives, including itinerary development, transportation, accommodations, registrations, and other travel-relatedĀ logistics.Ā 

  • Prepare,Ā submit, and track executive expense reports throughĀ Emburse, ensuring accuracy, compliance, andĀ timelyĀ completion.Ā 

  • Collaborate effectively with executive assistants, administrative professionals, and cross-functional teams to coordinate activities, schedules, communications, and requests on behalf of Executive Leaders.Ā 

  • Build andĀ maintainĀ strong working relationships across all levels of the organization while exercising sound judgment, professionalism, and discretion when handling confidential and sensitive information.Ā 

  • Partner with Facilities Management to support the efficient operation of the office environment and ensureĀ a welcomingĀ experience for employees, executive visitors, customers, and business partners.Ā 

  • ProvideĀ additionalĀ administrative and project support as needed to advance executive and organizational priorities.Ā 

What You Need to Be SuccessfulĀ 

  • Minimum 5-7 years of experience supporting senior executives, including C-suite leaders, in a fast-paced corporate environment.Ā Ā 

  • ProficiencyĀ in Microsoft Office (Word, Excel,Ā PowerPoint,Ā and Outlook)Ā 

  • Strong verbal and written communication skills.Ā 

  • Strong organizational skills: able to effectively prioritize assignments and competing deadlines in a fast-paced environment.Ā 

  • Strong attention to detail, commitment to producingĀ accurateĀ workĀ in a timely manner.Ā 

  • Ability to handle sensitive situations and confidential information with discretion.Ā 

  • Experience in organizing and managing meetings, conferences, and eventsĀ can beĀ beneficial.Ā 

  • May require occasional overtime.Ā

  • This is a hands-on, on-site role requiring full-time presence at the Carlsbad, CA office due to direct interaction with physical product, inventory, and operational assets; this position is not eligible for a hybrid or remote work schedule.Ā 

  • Flexibility in working hours isĀ requiredĀ to support training schedules, events,Ā logisticsĀ timelines, and business needs beyond standard office hours.Ā 

  • YouĀ are able toĀ lift, move, and stage training equipment and assets as required by the role.Ā 

  • Successfully complete a background investigation and drug screen as a condition of employment (post-offer).Ā
