Visitor Experience & Trade Compliance Coordinator
(Front Office)
Intervala, LLCÂ is seeking a Visitor Experience & Trade Compliance Coordinator to serve as the first point of contact for visitors, customers, and vendors while supporting key administrative and trade compliance activities.

This position offers a unique opportunity to combine customer service, office administration, executive support, and trade compliance in a fast-paced manufacturing environment. You will play an important role in creating a professional visitor experience while helping ensure company procedures related to export compliance and visitor management are followed.
What You'll Do
Visitor Experience & Front Office
- Greet and assist visitors, customers, and vendors in a professional and welcoming manner.
- Coordinate daily front desk operations and ensure visitor procedures are followed in accordance with the company's Export Management Compliance Program (EMCP).
- Maintain accurate visitor logs and records in accordance with EMCP requirements.
- Conduct identification verification and required checks against applicable Export-Controlled Excluded Parties lists.
- Track, maintain, and manage visitor and customer smock inventory.
- Support compliance training for visitors and staff as needed.
- Serve as a resource for compliance-related questions and direct inquiries to the appropriate Trade Compliance personnel.
Trade Compliance & Administrative Support
- Provide administrative support to the Contracts and Compliance Manager, including assistance with the U.S. Person verification process.
- Assist the Trade Compliance Officer with administrative and compliance-related activities.
- Maintain organized electronic and paper filing systems.
- Handle confidential and sensitive information with professionalism and discretion.
- Develop, maintain, and improve administrative processes and systems to increase efficiency and accuracy.
Office & Executive Support
- Coordinate and assist with ordering internal lunches.
- Order office supplies and business cards as needed.
- Manage the company's Lands' End merchandise program.
- Support executive leadership with scheduling, travel coordination, meeting preparation, and other administrative needs as requested.
- Exercise sound judgment and independent decision-making when handling daily responsibilities.
- Perform additional duties as assigned.
- Follow all company policies and general requirements for team members.
What We're Looking For
Required Qualifications
- High School Diploma or GED required.
- Minimum of 2 years of relevant visitor/customer-facing and administrative experience.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Professional and welcoming demeanor.
- Ability to maintain confidentiality and exercise discretion.
- Ability to manage multiple priorities in a fast-paced, detail-oriented environment.
- Strong problem-solving and decision-making skills.
- Proficiency with Microsoft Outlook, Excel, Word, and PowerPoint.
- Strong planning and resource management abilities.
- Strong analytical and computational skills, including the ability to interpret reports and analyze data.
- Ability to work effectively both independently and as part of a team.
