Functions
Area of Responsibilities
* Responsible for day to day coordination of PreService operations to include scheduling and preservice clearance.
* Acts as a liaison to promote open communication and development of positive relations between the PreServices department and other team members, other departments, customers, and management. Serves as the primary resource to resolve scheduling related obstacles and address template questions, from service departments ie radiology, cardiology etc.
* Assist with transparency & change management efforts, by effectively communicating relative operational changes shared by leader or obtained from interactions with other departments, project meetings etc.
* Maintains knowledge and technical skill proficiency to assume duties as required. Completes educational assignments as required. Maintains proficiency of technical skills in all areas of the department, as necessary, to assume duties as primary department contact, when designated by manager.
* Performs pre-service and scheduling functions in a timely, accurate, and professional manner. Exhibits department and facility mission characteristics with patients, visitors, family members, physicians, physician's practice staff, nurses, ancillary department personnel, and others who may come in contact with this individual as a representative of Tanner Health System. Requires discretion, diplomacy, and tact to give or get specialized information to perform duties of the job, obtaining accurate and complete information from patients who are ill, anxious, possess language barriers, etc
* Performs order entry functions in a timely, accurate, and professional manner.
* Ensures medical necessity and coding information as required for patients, is accurate and entered in the computer in a timely manner.
* Onsite point person and problem solver for PreServices, collaborating with Manager for escalations as needed. Communicates with manager routinely to ensure transparency & alignment.
* Creates and maintains staff schedules. Assists Manager with PTO review approval and employee attendance tracking.
* Assist in the administration of all departmental reporting including but not limited to call and scheduling volumes, POS Collections, maintaining current productivity data measures, and others as assigned.
* Assists with PreServices staff development and training, maintaining a focus on quality customer service. Supports team member development as an ongoing resource and subject matter expert.
* Supports quality and efficiency improvement efforts through participation in all special projects, PI reporting and initiatives, in coordination with the department manager and PAS Quality Coordinator. Provides general feedback to team, regarding quality review outcomes and opportunities.
* PI - Monitors call times and activity to ensure maximum throughput and patient contact.
* PI - Monitors scheduling request WQs to ensure the department is meeting the level of service expected, relative to first touches and scheduling turn around times.
* PI - Monitors Preservice clearance metrics to continuously improve the percentage of scheduled patients that are fully pre-registered, provided an estimated cost and payment secured arranged.
