Description
The Operations Specialist is an office-based position responsible for providing administrative, reporting, and operational support to the Construction and Maintenance teams. This role serves as a key resource for maintaining accurate records, coordinating business processes, preparing reports, and assisting with departmental activities. The successful candidate will be detail-oriented, highly organized, and able to manage multiple priorities while supporting the efficient execution of business operations.ÂRequirements
- Provide administrative and operational support to the Construction and Maintenance management and staff.Â
- Assist with month-end close activities, including data collection, validation, and reporting related to oil and gas operations.Â
- Support accounts payable processes, including invoice review, coding, tracking, and documentation.Â
- Prepare and submit regulatory reports and maintain supporting records in accordance with company and regulatory requirements.Â
- Generate, maintain, and distribute daily, weekly, and monthly operational reports using various company systems and databases.Â
- Coordinate and participate in monthly accrual meetings, compiling and organizing supporting information as needed.Â
- Maintain accurate operational records, databases, and departmental documentation.Â
- Assist field personnel with administrative processes, paperwork submissions, recordkeeping, and office-related support.Â
- Enter, track, and reconcile work order information and operational data within company systems.Â
- Respond to internal requests for information and provide general administrative assistance to department personnel.Â
- Support special projects and process improvement initiatives as assigned.Â
- Perform other duties as assigned for which the employee is qualified and trained.Â
 Qualifications
- 3 to 5 years of experience in an administrative, operations support, or business support role within the oil and gas industry preferred.Â
- Proficiency in Microsoft Office Suite, with advanced skills in Excel and working knowledge of Word and Spotfire.Â
- Experience working with business applications and databases, including WellEZ, OpenInvoice/Ticket, or similar systems.Â
- Familiarity with work order processing, data entry, tracking, and reporting systems.Â
- Strong organizational, analytical, and problem-solving skills.Â
- Excellent written and verbal communication skills.Â
- Demonstrated ability to manage multiple priorities and meet deadlines.Â
- High level of accuracy, attention to detail, and commitment to maintaining confidential information.Â
- Strong customer service mindset with the ability to collaborate effectively across departments.Â
Physical Demands and Exposures
- Primarily an office-based position requiring extended periods of sitting and computer use.Â
- Frequent use of standard office equipment, including computers, telephones, and printers.Â
- Occasional standing, walking, bending, or lifting of office supplies and files up to 20 pounds.Â
- Limited travel or visits to operational facilities may be required on an infrequent basis.Â
- Work is primarily performed in an office environment.Â
