Community Health Center of Central Wyoming (CHCCW) is seeking a friendly, organized, and patient-focused Front Office Receptionist (Patient Support Specialist) to join our healthcare team. This position plays a vital role in creating a welcoming experience for patients while supporting providers and clinic operations across multiple service lines.

The Front Office Receptionist (Patient Support Specialist) serves as a liaison between providers and patients, ensuring a smooth and positive patient experience from check-in to check-out. Responsibilities include greeting patients, updating information in the Practice Management System (PMS), scheduling appointments, collecting co-pays and balances, answering phones, and educating patients about CHCCW’s available services and programs, including Lab, Radiology, Pharmacy, Case Management, Dental, Behavioral Health, and Medical services.

This role requires excellent customer service, attention to detail, multitasking abilities, and compassion when working with patients and families. The ideal candidate is professional, adaptable, and committed to maintaining confidentiality and providing exceptional patient care support. Being proficient in both English and Spanish is an advantage!

Key Responsibilities

  • Greet and check in patients accurately and courteously
  • Verify and update demographic, insurance, and billing information in the Patient Management System
  • Ensure all required registration, consent, and questionnaire forms are completed
  • Schedule appointments and follow-up visits according to clinic guidelines
  • Answer incoming calls, route calls appropriately, and take accurate messages
  • Collect co-pays, outstanding balances, and process daily cash deposits
  • Educate patients on CHCCW services, billing, payment policies, and insurance information
  • Assist with patient flow and monitor the reception area to ensure timely service
  • Process walk-in patients according to clinic policy
  • Recognize and respond appropriately to medical emergencies by alerting clinical staff
  • Call patients with appointment reminders when applicable
  • Maintain a clean, organized, and professional reception area
  • Support teammates and management in daily clinic operations

Minimum Qualifications

Education

  • High School Diploma or equivalent required

Preferred Experience

  • Previous customer service experience
  • Experience in a healthcare or medical office setting is helpful

Required Skills

  • Ability to manage multiple tasks and interruptions in a fast-paced environment
  • Proficiency with computers, office equipment, and data entry
  • Excellent attention to detail and organizational skills
  • Basic mathematical aptitude and cash-handling ability
  • Ability to communicate clearly and compassionately with patients, families, and staff

Physical Demands & Work Environment

  • Ability to sit or stand for extended periods throughout the workday
  • Frequent use of computers, phones, printers, and other office equipment
  • Work performed in a busy medical office environment with frequent interruptions
  • Occasional travel to other CHCCW sites may be required
  • Ability to handle sensitive and confidential information with the utmost discretion
