The Sales Coordinator provides timely, accurate administrative and operational support to Sales Representatives, Sales Managers, and Commodity Managers. The role coordinates customer orders, reports, communications, and follow-up activities to support excellent customer service, efficient order fulfillment, and achievement of Company objectives.
Essential Duties and Responsibilities
- Provide daily administrative and operational support to Sales Representatives, Sales Managers, and Commodity Managers
- Answer phones and emails, respond to routine inquiries, and route customer or operational matters to the appropriate team member
- Enter and maintain customer orders accurately, including quantity, price, product, customer, ship-to location, delivery instructions, and special instructions, in Company and customer systems as required
- Monitor order status from entry through confirmation, delivery, receipt, cancellation, or resolution; communicate updates and escalate issues promptly
- Coordinate with Product and Commodity Managers to obtain current inventory, availability, load-time, and supply information for the Sales Team and customers
- Support customer communication by distributing approved market updates, weekly load times, product availability, and supply-related notices under the direction of the Sales Representative or Manager
- Track customer fill rates, contract activity, order changes, deductions, and other service metrics; prepare reports and flag exceptions for follow-up
- Assist with outside purchases, transportation coordination, product transfers, troubled-file documentation, and order-related adjustments as directed
- Coordinate with Accounting and the Sales Team to follow up on delinquent invoices, customer deductions, credits, and supporting documentation; escalate unresolved items
- Maintain accurate customer, pricing, contract, and order documentation in accordance with established procedures and authorization levels
- Coordinate recurring and special projects, reports, customer communications, meetings, and follow-up items for the Sales Team
- Provide back-up support to Customer Service and Sales Representatives during absences or periods of increased workload
- Assist with Marketing initiatives, customer materials, samples, promotions, and events as assigned
- Protect confidential customer, pricing, sales, and Company information
- Perform other duties as assigned
Job Requirements and Qualifications
- Associate degree or at least two years of relevant work experience; an equivalent combination of education and relevant experience may be considered
- One or more years of sales support, customer service, order management, logistics, produce, agriculture, or related experience preferred
- Strong attention to detail and organizational skills, with the ability to maintain accurate orders, records, reports, and follow-up activities
- Excellent written and verbal communication skills and a professional, customer-focused approach
- Ability to manage multiple priorities, consistently meet deadlines, and work effectively in a fast-paced environment
- Ability to build and maintain positive working relationships with customers, receivers, vendors, and employees at all levels
- Sound judgment and the ability to recognize issues, research information, and escalate matters within established authority levels
- Ability to work effectively as part of a team and independently complete assigned tasks
- Proficiency with Microsoft Office applications, including Outlook, Excel, Word, PowerPoint, Power BI; experience with Famous, EDI, iTrade, FoodLink, or similar sales/order systems is preferred
- Ability and willingness to work Monday through Friday and occasional weekends, holidays, or extended hours as business needs require
- Occasional travel may be required
