Since 1977, we have provided full-service management, operations, communications, events, and financial support to trade associations and nonprofit organizations. We are a small, long-tenured staff. Current team members average 11 years at C&A. There is no typical workday. Projects and tasks vary, and new skills are learned every day.
The Role
The Association Coordinator supports the operational success of multiple nonprofit client associations. This role is a strong fit for someone who thrives in a fast-paced environment, is detail-oriented, can independently manage projects, and enjoys working closely with a team to deliver high-quality member experiences, programs, and events.
Reports to:Â Assigned Account Executive
Location: Baltimore office. Hybrid available after a successful on-boarding period.
Travel: Approximately 15%, primarily for client conferences and events.Â
Key Responsibilities
Member services and communications
- Serve as a point of contact for members, prospective members, and other stakeholders by email, phone, and mail
- Process membership records, applications, renewals, and related updates in association databases
- Draft, edit, and proofread professional correspondence, reports, and presentations
Records, reporting, and administration
- Manage databases, records, reporting, and general administrative functions
- Review, analyze, and share information relevant to members through reports
- Assist with financial tasks such as reconciling invoices, processing payments, and tracking expenses
- Collaborate with internal staff to keep day-to-day operations running smoothly
Board, committee, and program support
- Assist with board meeting preparations and materials, including scheduling and logistics
- Support committees and move programs, projects, and initiatives to completion
Marketing, website, and digital
- Help develop and implement annual communication and marketing plans, including email newsletters and updates
- Maintain and update association website content
- Support organizational social media posting and basic social management
Meetings and events
- Support planning and execution of conferences, workshops, and webinars
- Assist Account Executive with managing event logistics, registration, attendee lists, supplies, and shipping
- Provide on-site event support as needed
Qualifications and Skills
- Highly organized, self-directed, and able to manage multiple priorities and deadlines
- Strong written and verbal communication skills
- Excellent interpersonal and customer service skills with a professional demeanor
- Comfortable working independently while collaborating as part of a team
- Strong time-management and problem-solving skills
- Tech-savvy, with proficiency in Microsoft Word, Excel, Outlook, Teams, and PowerPoint
- Database management (AMS) experience preferred but not required
- Website / content management experience preferred
- Social media marketing and management for organizations preferred
- Ability to maintain professionalism in stressful situations
- Ability to think strategically and exercise sound judgment
Education and Experience
- Bachelor’s degree, or 2+ years of direct experience in hospitality, nonprofits, associations, or a related field
- Association or nonprofit management experience preferred
Compensation and Benefits
- Salary range: $48,000–$62,000, based on experience
