Overview
The position of the Administrative Assistant I will provide administrative support to the Physical Medicine & Rehabilitation Division. The Administrative Assistant I reports to the Director of PMR, which has several departments reporting to that Director. Will provide administrative support for several management positions within the division of PMR.

Responsibilities
Assisting Director of PMR
- Liaison for Director to staff and providers
- Maintains calendar, routes mail
- Arranges meetings
- Handles incoming phone calls as needed
- Any other duty as assigned by Director
PMR effective and efficient operations
- Orders supplies for office and division as directed.
- Maintains systematic and easily retrievable files.
- Disseminates information relative to administrative policies.
- Maintains and updates all PMR SOPs
- Community Benefit reporting for PMR Division
- UnityPoint Health Print Shop orders
- Maintains records, monthly calendars, financial reports, etc.
- Tracks and reconciles Accounts Payable journals for various cost centers
- Tracks and reconciles credit card statements for PMR Director/managers as requested
- Tracks payments/volume count for contracted physicians
- Approves invoices in OnBase•
- Maintains confidential files.
- Maintains contracts and monitors correspondence/renewals
- Student affiliation agreements•
- Other business contracts as needed
- Maintains accurate volume records for division.
- UDS discharge correspondence sent monthly to all referring physicians of discharged IRU patients•
- Year-end data for IRU
- Outpatient volumes
- 6W Patient Satisfaction Surveys
- Balanced Score Card IRU
- Processes payroll
- Master timekeeper for division
- Timekeeper for Rehab admin/NDL/Psych cost centers
- Provides administrative support to PMR physicians as needed
- Provides additional secretarial support throughout division when called upon
Coordination/Communication for PMR mgmt. team
- Organizes and assists with special projects and programs.
- Annual Inpatient Rehabilitation Reunion
- Annual Mahany Awards
- PMR Division/Community Relations activities
- Brain Injury Prevention events, i.e., bike helmet fittings/giveaways
- Orders and maintains inventory of bike helmets
- Patient Family Advisory Council: IRU
- Other activities as needed
- Coordinates meetings (room scheduling, catering, audiovisual needs, environmental services, etc.) as needed.
- Coordinates travel arrangements/conference attendance for associates as needed
- Assists with recording and maintaining minutes at meetings as needed: PMR management team meeting, IP Rehab Ops, PMR physician dept meeting, Diversity meetings.
Qualifications
- Writes, reads, comprehends and speaks fluent English.
- High-school graduate.
- Completed an advanced secretarial course or has previous experience.
- Previous secretarial experience.
- Computer literacy.
- Proven background in organizational skills and attention to data
