Position Summary

The Onboarding Coordinator conducts new hire orientation for professional Class A drivers in both classroom and hands-on settings, educating incoming drivers on company policies, procedures, and technologies. This position coordinates the onsite and online onboarding process across departments and supports driver retention through follow-up interviews, periodic surveys, and consistent communication with the fleet.

The ideal candidate is a confident presenter and strong communicator who advocates for both the driver and the company, works comfortably with people from a wide range of backgrounds, and thrives in a fast-paced, deadline-driven environment.

Essential Responsibilities

• Lead orientation classes for professional Class A drivers, assessing skills, imparting policy knowledge, and demonstrating the basic job functions of the professional driver.

• Present information effectively using presentation software, printed materials, and hands-on equipment.

• Coordinate and communicate with every department at West Side Transport to complete the hiring process.

• Correspond regularly with recruiting peers regarding applicant progression and the timing of onsite and online onboarding activities.

• Initiate and assign new hire onboarding tasks, including FMCSA Clearinghouse queries and consents.

• Verify that required onboarding documentation is completed accurately and on time, and coordinate with the Safety department on driver qualification requirements.

• Communicate directly with drivers during and after the hiring process, serving as an advocate for both the driver and the company.

• Conduct structured follow-up interviews, periodic surveys, and other retention activities with newly hired drivers, and report findings and trends to the Director of Recruiting.

• Escalate onboarding delays, applicant concerns, and retention risks to management promptly.

• Maintain accurate onboarding records and applicant data in company systems.

• Support compliance with DOT, FMCSA, and company policy requirements throughout the onboarding process.

• Maintain confidentiality of applicant, driver, and company information at all times.

• Perform recruiting duties and provide support to the Recruiting department as business needs require.

• Perform additional duties and special projects as assigned.

Qualifications

Required

• High school diploma or GED.

• Three or more years of experience in sales, marketing, or recruiting, and/or public speaking or teaching experience.

Preferred

• Associate or bachelor’s degree in Business, Human Resources, Communications, Education, or a related field.

• Experience in transportation, trucking, or a safety-sensitive regulated industry.

• Working knowledge of FMCSA driver qualification and Clearinghouse requirements.

Knowledge, Skills & Abilities

• Excellent public speaking and presentation skills, with the ability to hold the attention of a classroom of adult learners.

• Excellent verbal, written, and interpersonal communication skills, with the ability to work effectively with people from a wide range of backgrounds and experience levels.

• Ability to manage multiple applicants, deadlines, and onboarding tasks simultaneously.

• High attention to detail with excellent documentation and recordkeeping skills.

• Strong problem-solving skills and sound judgment in resolving onboarding issues.

• Ability to maintain confidentiality and handle sensitive applicant and employee information with professionalism.

• Proficiency with Windows, Microsoft Office 365, browser-based applications, and smartphone technology.

• Demonstrated ability to work independently while contributing effectively within a team.

• Flexibility to work early mornings, evenings, or weekends as orientation schedules require.

Physical Requirements

• Ability to stand and present in a classroom setting for extended periods.

• Ability to administer, and to demonstrate participation in, the driver agility test.

• Frequent walking throughout the terminal, yard, and training areas, including on uneven surfaces.

• Ability to work outdoors in all weather conditions during hands-on training sessions.

• Ability to lift up to 25 pounds on an occasional basis.
