This full-time position plays a vital role in ensuring the seamless day-to-day administration of program operations, logistics, communications, and compliance functions with precision and professionalism. The Administrative Program Manager works in close partnership with the MS-SLP Program Director, Director of Clinical Education, faculty, and institutional leaders to support a high-performing academic environment aligned with Wilson College’s mission and the accreditation standards of the Council on Academic Accreditation in Audiology and Speech-Language Pathology (CAA). This position requires on-site presence during lab immersions to assist with coordination and execution, as well as occasional evening and weekend availability. The ideal candidate will bring experience in higher education or an academic setting, strong technological proficiency, and exceptional organizational, event planning, and communication skills. ESSENTIAL FUNCTIONS: Program Operations and Administration: Plan, manage, and direct the daily business operations of the MS-SLP Program, including logistics, scheduling, coordination, and workflow management, in close collaboration with the MS-SLP Program Director.  Serve as the primary administrative liaison between the MS-SLP program and the College's administrative offices, including the Registrar, Financial Aid, Academic Affairs, and Human Resources. Develop, implement, and continually refine administrative systems, policies, and procedures to ensure optimal program efficiency and accreditation readiness. Maintain strict confidentiality consistent with FERPA requirements. Manage the program’s master and student calendars (course scheduling, lab immersions, accreditation deadlines, faculty reviews, and institutional reporting timelines). Prepare agendas and maintain accurate minutes for program meetings. Support onsite residencies (planning, build-out/tear-down, equipment movement, and coordination) in collaboration with the onsite Lab Manage, Program Director, and MS-SLP program faculty. Accreditation and Compliance Support: Provide comprehensive administrative support for CAA documentation requirements, including organized data collection, formatting, and timely submission for annual reports, self-studies, and program reviews. Maintain accurate records for student outcomes and program metrics aligned with CAA expectations; manage compliance timelines and an accreditation calendar to ensure no deadlines are missed. Assist with the preparation, revision, and distribution of student/faculty handbooks, course syllabi, program policies, and other required documentation; manage student records in compliance with FERPA/HIPAA Technology and Data Management: Demonstrate advanced proficiency with Microsoft 365 (Excel, Word, PowerPoint, Outlook, SharePoint, OneDrive) to support program assessment and decision-making (e.g., data validation, pivot tables, conditional formatting, dashboards). Build and maintain tracking systems and reports for enrollment, cohort progression, course evaluations, clinical practicum/externships, budget expenditures, and outcome metrics. Manage the MS-SLP Program’s SharePoint and OneDrive repositories; act as point of contact for instructional technology platforms (LMS, video conferencing, and specialized SLP education/simulation tools). Coordinate adjunct faculty contracting, correspondence, and scheduling using appropriate institutional platforms. Event Planning, Residency, and Clinical Coordination: Plan and execute program events: student orientation/onboarding, open house, information sessions, recognition ceremonies, faculty development days, advisory board meetings, and interprofessional education events Develop event timelines; coordinate space, vendors, catering, AC, guest communications, and post-event evaluations. Plan, manage, and direct on-site residency experiences in collaboration with the onsite lab manager for the MS-SLP Program, including equipment inventory, construction/deconstruction, and safe storage/maintenance procedures. Financial and Budget Administration: Prepare and maintain detailed spreadsheets and reports for operational budgets, equipment expenditures, and program revenue streams; develop financial and operational reports for internal leadership and external bodies Ensure fiscal operations align with institutional policies and procurement procedures; coordinate travel for the Program Director, core, and associated faculty (itineraries, lodging, transportation, reimbursement). Communication and Stakeholder Relations: Serve as the communications hub for the MS-SLP Program; manage correspondence with students, faculty, clinical partners, college administrators, accreditation bodies, and prospective applicants with professionalism and timeliness. Develop and disseminate program announcements; monitor and respond to the program’s shared inbox, ensuring accurate, consistent messaging across email, phone, digital portals, and in person. Support the admissions inquiry process and tracking with the Coordinator of Admissions and Program Director across the application cycle. Secondary Responsibilities: Provide general administrative support to MS-SLP faculty; assist with exam proctoring and student support activities as appropriate. Attend program meetings, create agenda (gathering input from faculty), and maintain minutes; participate in program and college service events. Support the Coordinator of Curriculum in planning and scheduling on-site residencies. Perform other duties as assigned by the Program Director. Supervisory Responsibilities: May supervise administrative staff within the department, as assigned. COMPETENCIES & KNOWLEDGE:   Academic Environment Expertise: Knowledge of higher education operations, preferably within graduate health professions; familiarity with CAA standards and processes preferred. Advanced Technology Proficiency: Expert-level Microsoft 365 (Excel, Word, PowerPoint, Outlook, SharePoint, OneDrive); experience with LMS and student information systems preferred Data Analytics and Reporting: Ability to design/manage spreadsheets and databases for student data, clinical placements, program outcomes, budget information, and accreditation metrics with high accuracy Event Planning and Logistics: Proven success coordinating multi-stakeholder events, timelines, vendors, budgets, and logistics Communication Excellence: Exceptional written and verbal communication tailored to students, faculty, clinical partners, and administrators; commitment to consistency, accuracy, and professionalism. Organizational Mastery: Capacity to manage concurrent complex projects and competing deadlines without loss of quality or accuracy. Fiscal Acumen: Knowledge of accounting principles, budget tracking, purchasing, and expense reporting within institutional settings. Judgement and Discretion: Demonstrate ability to exercise independent judgement, maintain strict confidentiality, and navigate sensitive personnel and student matters. Collaborative Work Style: Ability to work independently and within cross-functional teams; strong relationship-building skills across internal and external stakeholders. EDUCATION & EXPERIENCE:   Bachelor’s degree from an accredited institution (business/health administration, communications, education, or related field preferred), or equivalent experience. Three (3) years of administrative experience, preferable in an academic environment. Demonstrated proficiency with Microsoft 365 (advanced Excel) and experience in event planning/coordination. POSITION TYPE AND EXPECTED HOURS OF WORK: This is a full‑time, exempt position. Standard business hours; evening and weekend availability is occasionally required to support on-site residencies, program events, and student-facing activities. Flexibility is essential, and employees may be asked to adjust their schedule to meet operational needs. Remote/Hybrid eligible Periodic travel to the Philadelphia (King of Prussia) area and Chambersburg, PA for immersive lab experiences and College functions is required.
