Overview

The Liaison serves as a point of contact for clinicians and Medical Staff Services throughout the full pre-boarding and onboarding lifecycle by and through partnership with Carle stakeholders involved in same. This role functions as a coordinator and communication hub between clinicians and internal stakeholders to ensure a smooth and coordinated transition into Carle Health. The liaison manages provider relationships while supporting medical staff and enrollment functions.

Responsibilities

  • Actively monitor and follow up on provider onboarding requirements, including assigned Learning Management System (LMS) modules, to support clinician readiness while reducing confusion and last minute delays prior to start dates.
  • Assist with coordination and follow up on Respiratory Fit Testing and occupational health requirements, serving as a liaison when needed between clinicians and internal teams to ensure compliance without disrupting onboarding timelines.
  • Provide hands on assistance and guidance to providers with Illinois professional licensure applications and renewals, offering clarity on requirements specific to their discipline and helping navigate state systems efficiently.
  • Assist providers with DEA registration and updates, including initial applications, renewals, and location based changes, ensuring alignment with Medical Staff and regulatory requirements for safe and compliant practice.
  • Serve as a supportive guide for providers throughout Electronic Prescribing of Controlled Substances (EPCS) enrollments, minimizing administrative burden by clearly explaining requirements, assisting with documentation, and proactively following up to ensure timely access for patient care.
  • Partner with Medical Staff Services and department leadership to support Initial Professional Practice Evaluation (IPPE) follow up, helping clinicians understand expectations, timelines, and documentation requirements while ensuring evaluations are completed in accordance with Medical Staff policies.
  • Support clinicians and internal teams with Medicare and payer enrollment follow up, including assistance with surrogacy access, missing or incomplete CMS 855I applications, and Electronic Signature Agreement (ESA) requirements, to ensure alignment with medical staff appointment and billing readiness.
  • Assist clinicians with establishing National Provider Identifier (NPI) records, including guidance on NPPES registration and Identity & Access (I&A) questions, serving as a resource to reduce delays in credentialing and enrollment.
  • Respond to and resolve provider inquiries related to NPI updates, legal name changes, DEA prescribing issues, and enrollment discrepancies, coordinating with providers, practice managers, and internal teams as needed.
  • Represent provider enrollment and medical staff office functions during weekly onboarding or medical staff–related onboarding meetings, providing status updates, identifying risks to appointment readiness, and supporting coordinated resolution efforts.
  • Obtain and track updated board certification documentation and DEA registration wallet card copies when not received through credentialing applications.
  • Serve as a primary point of contact for locum tenens providers and agencies seeking enrollment status updates, supporting timely onboarding and alignment with medical staff appointment requirements.
  • Conduct proactive outreach to clinicians when Medicaid enrollment profiles are locked or restricted (e.g., maximum payees reached) and coordinate corrective actions to mitigate delays in enrollment or payment eligibility.
  • Validate and document practice location addresses for hybrid and telemedicine providers, ensuring accuracy for enrollment, reimbursement, and regulatory compliance purposes.
  • Support enrollment-only clinicians who do not require Medical Staff appointment, working with departments to complete required documentation and communicate start date readiness.
  • Coordinate collaborative agreements and prescriptive authority documents between physicians and advanced practice providers.
•Collaborate with Medical Staff Services to support the credentialing and privileging process, ensuring clinicians understand requirements and expectations. •Provide clear, timely, and consistent status updates to clinicians and internal stakeholders regarding outstanding requirements, approvals, and next steps. •Maintain accurate documentation and tracking records in designated systems and databases. •Ensure communications are professional, compliant, and aligned with organizational standards and confidentiality requirements. •Partner with Provider Enrollment teams to support payer enrollment activities and communicate status updates to clinicians and stakeholders. •Support onboarding activities with Provider Services and operational leaders to avoid start date delays.

Salary Range

The compensation range for this position is $33.56per hour - $57.72per hour. This represents a good faith minimum and maximum range for the role at the time of posting by Carle Health. The actual compensation offered a candidate will be dependent on a variety of factors including, but not limited to, the candidate’s experience, qualifications, location, training, licenses, shifts worked and compensation model.
