Position Overview

We are seeking a professional, organized, and welcoming Front Desk Receptionist to serve as the face of our corporate office. In this role, you will manage front desk operations, create a positive first impression for guests, and provide critical administrative support and project assistance.

 

The ideal candidate is a master multitasker who thrives in a dynamic environment, possesses exceptional communication skills, and seamlessly balances day-to-day office needs with executive-level tasks.  This position reports directly to the Director of Dealership Administration, while regularly supporting our corporate executive team. 

 

Key Responsibilities

  • Front Desk & Guest Relations: Attend to the front desk, including answering and routing incoming phone calls, and warmly greeting and assisting guests, clients, and vendors upon arrival.
  • Executive and Corporate Support: Provide dedicated administrative support to the corporate executive team and execute special projects as directed, including managing and scheduling complex executive calendars, ensuring seamless coordination of meetings, appointments and shifting priorities. 
  • Travel Coordination: Book and manage detailed travel arrangements for individual executive itineraries and corporate meetings.
  • Mail & Logistics: Efficiently receive, sort, log, and distribute all incoming mail, packages, and deliveries.
  • Office Culture & Events: Coordinate and assist in planning corporate office functions, celebrations, and team-building events.
Qualifications

Qualifications & Skills

  • Experience: 1–3 years of experience in a front desk receptionist or administrative role, ideally with exposure to supporting corporate executives.
  • Tech Savvy: Proficiency with Google Business Suite (Sheets, Gmail, Meet), Microsoft Office Suite (Word, Excel, PowerPoint), and calendar management tools (Outlook/Google Calendar).
  • Communication: Outstanding verbal and written communication skills with a highly professional demeanor, suited for interfacing with corporate executives and external partners.
  • Organization: Strong organizational and time-management skills, with the ability to prioritize tasks in a fast-paced environment.
  • Discretion: Proactively handle sensitive, confidential, and high-level corporate information with the utmost discretion.
