Position Overview:Â
The HR Coordinator plays a key role in supporting firm-wide human resources operations and the employee experience. This position supports the employee lifecycle from recruitment and onboarding through ongoing employee support and offboarding.
The HR Coordinator will handle routine HR administrative processes, recruiting coordination, benefits administration, employee records, HR systems, onboarding/offboarding, and employee engagement initiatives. The Coordinator will work closely with the HR Generalist and HR Director, escalating complex employee relations, compliance, policy, compensation, and other sensitive matters as appropriate.
This is a full-time, on-site position in Fairfax, VA during the first 90 days, with the potential to transition to a hybrid schedule of three days in-office and two days remote following successful completion of the 90-day onboarding period, based on performance and business needs.
The position may require for university career fairs, recruiting events, and other HR outreach activities.
Key Responsibilities: Â
HR Administration & Employee Support
- Serve as a primary point of contact for routine employee HR questions and administrative requests.
- Maintain accurate and confidential employee records, personnel files, and HR documentation.
- Update and maintain employee information in the HRIS and other HR systems.
- Prepare routine employee correspondence, forms, reports, and HR documentation.
- Process routine employee changes, including transfers, promotions, and other lifecycle transactions.
- Assist with employee separation and offboarding administration.
- Provide administrative support for performance review processes, including tracking, scheduling, documentation, and follow-up.
- Prepare HR reports and provide data for audits, compliance reviews, and HR projects.
- Escalate complex employee relations, compliance, or policy matters to the HR Generalist or HR Director.
Recruiting & Talent Acquisition
- Coordinate recruitment processes for paralegals, law clerks, attorneys, and other firm positions.
- Post and maintain job openings on recruiting platforms.
- Monitor applications and maintain accurate candidate information in the Applicant Tracking System (ATS).
- Conduct initial candidate qualification screening based on established job requirements.
- Coordinate qualified candidates with the HR Generalist and hiring managers for further evaluation.
- Schedule interviews and communicate with candidates throughout the recruitment process.
- Coordinate references, background checks, and other pre-employment requirements.
- Prepare employment offer documentation for HR leadership review and approval.
- Maintain recruiting records and prepare recruiting reports and metrics.
- Assist with university recruiting, career fairs, and community outreach events.
- Build relationships with university career centers and professional organizations.
- Support the firm's employment brand through LinkedIn, Indeed, and other recruiting platforms.
Benefits & Employee Lifecycle Administration
- Assist with medical, dental, vision, 401(k), and other employee benefit programs.
- Process routine benefit enrollments, changes, qualifying life events, and terminations.
- Respond to routine employee benefits questions and escalate complex issues as needed.
- Coordinate required documentation with benefits providers and payroll.
- Assist with benefits reconciliation and identify discrepancies for review.
- Coordinate new-hire onboarding and ensure required documentation is completed accurately and timely.
- Complete and maintain Form I-9 documentation in accordance with applicable requirements.
- Coordinate background checks and pre-employment documentation.
- Prepare new-hire files and enter employee information into HR systems.
- Coordinate new-hire orientation and onboarding activities.
- Coordinate employee offboarding and required separation documentation.
HR Systems & Access Administration
- Maintain employee access records as part of onboarding, transfers, and offboarding.
- Manage routine user administration for firm platforms, including Westlaw, as part of the employee lifecycle process.
- Coordinate activation, modification, and deactivation of user access in accordance with established procedures.
- Maintain accurate records of system access and employee changes.
- Troubleshoot routine access issues and coordinate with appropriate internal teams or vendors.
- Escalate access exceptions, security concerns, or policy-related matters to the HR Generalist or HR Director.
Employee Engagement & HR Initiatives
- Assist with employee engagement activities, recognition programs, and firm events.
- Support employee surveys and other engagement initiatives.
- Assist with initiatives designed to improve employee experience, retention, and workplace culture.
- Research HR best practices and provide information and recommendations to the HR Generalist and HR Director.
- Assist with HR projects and approved process improvement initiatives.
- Support implementation of approved HR programs and processes.
Qualifications:Â
- Bachelor's degree in Human Resources, Business Administration, or a related field preferred; equivalent education, internship, or relevant experience may be considered.
- 0-2 years of experience in human resources, recruiting, administration, customer service, or a related field.
- Strong interest in developing a career in Human Resources.
- Strong organizational skills and exceptional attention to detail.
- Excellent written and verbal communication skills.
- Strong interpersonal and customer service skills.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive employee information.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Basic understanding of HR principles, practices, and procedures, or demonstrated willingness to learn.
- Proficiency with Microsoft Office, including Outlook, Word, and Excel.
- Ability to learn HRIS, ATS, benefits, and other firm-specific systems and processes.
- Ability to work independently while collaborating effectively with the HR team and firm leadership.
- Willingness to travel for recruiting events, career fairs, and university outreach.
- Ability to work on-site Monday through Friday during the first 90 days.
Preferred Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- HR or recruiting internship experience.
- Administrative or office experience.
- Experience supporting recruiting, onboarding, or employee administration.
- Experience with an HRIS, ATS, ADP, or similar systems.
- Experience with benefits administration or employee records.
- SHRM-CP or SHRM-CP eligibility is a plus.
- Experience working in a law firm or professional services environment.
- Bilingual English/Spanish skills are a plus.
- Experience with university recruiting, career fairs, or community outreach.
Work Environment:Â
