Job Description

The Human Resource Coordinator is primarily responsible for supporting the HR team in day to day operations. This role is crucial in managing the administrative functions of onboarding, payroll, records maintenance and systems tracking. This role also manages functions of the employee lifecycle and supporting and coordinating all employee facing events. Most importantly, this role requires the highest level of integrity and discretion given the nature of employment information is sensitive and confidential.

Skills & Competencies

· Bachelor's degree

· 2+ years of relevant work experience, preferably in an HR or recruiting role

· Experience working in an LMS and HRIS System, preferred

· Intermediate knowledge of Word, Excel and PowerPoint

· Demonstrated sense of urgency in completing tasks and meeting deadlines

· Demonstrated strong technical administrative skills

· Strong interpersonal skills, especially the ability to network and establish professional relationships

· Demonstrated strong written and verbal communication skills

· Understanding of confidentiality of the role

· Detail oriented, with the ability to produce high quality work in a deadline-oriented environment and an ability to multi-task

Essential Job Functions

· Maintains and administers employee records in Workday, processing workforce transactions such as hires, transfers, promotions, and terminations while ensuring employee data is accurate, complete, and up to date.

· Manages the onboarding of new hires including New Hire Orientation, 90-day onboarding guides, and New Hire Manager meetings/training.

· Assists in HR communications and responds to basic employee inquiries regarding benefits, payroll, training resources, and HRIS questions.

· Track completion of new hire compliance training, and new hire 90-day review submissions.

· Support the payroll process with communication and auditing payroll reports for correct approvals.

· Manages, supports and coordinates all employee facing events including lunches, large group room reservations, office events, annual parties, etc.

· Support Front Desk Coordinator with questions about office or resolving employee questions.

· Escalate employee or manager concerns or questions to HR Manager or VP, HR.

· Ensure compliance with local, state, and federal employment laws.

· Maintain the highest level of confidentiality of employee related information including salaries, employee relations issues, medical information, etc.

· Partner with Marketing to ensure professional and positive newsletter and digital signage communication and provide accurate employee information including awards, promotions, new hires, anniversaries and birthdays.

· Other duties, as assigned by supervisor or leadership team.

Key Metrics & Responsibilities

· Maintain 98% or higher Workday data accuracy by completing approved updates directly or coordinating changes with HRSD.

· Ensure 100% of new hires have a documented 90-day onboarding plan before their start date and complete required onboarding tasks within the established timeframe.

· Track new hire training and 90-day review completion weekly, with 95% completed by the assigned deadline and all overdue items escalated within two business days.

· Audit 100% of payroll reports before payroll is finalized to identify time or pay discrepancies, and assist with resolving or escalating identified errors by the payroll submission deadline.

  • Ability to work at a computer for extended periods of time 

  • Ability to communicate effectively in English, both verbally and in writing 

  • Ability to lift and move items weighing up to 25 pounds, if necessary 

  • Ability to sit, stand, walk, bend, and climb stairs as required 

  • Manual dexterity sufficient for regular keyboard and office equipment use

  • Fast-paced office environment with frequent interruptions and changing priorities 

  • Interaction with internal stakeholders, regulatory agencies, and external partners
