Maxwood Furniture is seeking a highly organized and detail-oriented Legal Assistant or Paralegal to support the Human Resources and Operations teams. This role will work closely with the HR Director to assist with employment-related legal matters, claims management, contract review, attorney correspondence, and regulatory compliance.

The ideal candidate is proactive, professional, able to manage sensitive and confidential information, and capable of ensuring deadlines and legal obligations are met in a timely manner.

Key Responsibilities

Legal & Claims Administration

  • Serve as the frontline coordinator for employment-related legal claims and disputes under the guidance and direction of the HR Director

  • Assist with gathering documentation, organizing case files, and responding to requests related to legal matters

  • Correspond and coordinate with outside counsel, insurance carriers, and third-party administrators

  • Track legal deadlines, filings, and response dates to ensure timely compliance

  • Maintain accurate and confidential legal and personnel records

Workers’ Compensation Management

  • Coordinate and monitor workers’ compensation claims from initiation through resolution

  • Ensure claims are submitted promptly and all required documentation is completed accurately and on time

  • Communicate with employees, managers, medical providers, and insurance representatives regarding claim status and documentation

  • Track claim activity and assist with return-to-work coordination as needed

Contract & Compliance Support

  • Review contracts, agreements, and legal documents for completeness and consistency before escalation to leadership or counsel

  • Assist with maintaining contract files and renewal tracking

  • Support HR and Operations with compliance-related initiatives, policy documentation, and administrative legal matters

  • Help ensure company practices align with applicable employment laws and internal policies

Administrative & Cross-Functional Support

  • Provide administrative support to the HR Director on legal and compliance matters

  • Assist with investigations, document preparation, and internal reporting as needed

  • Collaborate with HR and Operations leadership to identify and resolve administrative or compliance issues proactively

Qualifications

  • Associate’s or Bachelor’s degree in Paralegal Studies, Legal Studies, Business Administration, or related field preferred

  • Paralegal certification is a plus

  • Minimum 2 years of experience in a legal assistant, paralegal, HR compliance, insurance claims, or related role preferred

  • Experience handling workers’ compensation claims and employment-related matters strongly preferred

  • Strong organizational skills with the ability to manage multiple priorities and deadlines

  • Excellent written and verbal communication skills

  • High level of discretion and ability to maintain confidentiality

  • Proficiency in Microsoft Office Suite and document management systems

Preferred Skills

  • Familiarity with employment law, workers’ compensation procedures, and contract administration

  • Ability to communicate professionally with attorneys, insurance representatives, and internal leadership

  • Strong attention to detail and follow-through

  • Self-motivated with the ability to work independently in a fast-paced environment
