PRIMARY FUNCTION:  PURCHASING INTERN

DEPARTMENT: Finance Department

REPORTS TO: Purchasing Manager

SUMMARY:

The Purchasing Intern supports the management, organization, and movement of OS&E, FF&E, supplies, equipment, and other property assets required for the daily operation of The Dewberry. This position assists with receiving, inventory management, storage organization, distribution, and purchasing functions across the hotel and off-site storage locations.

Working at the intersection of operations and design, the Purchasing Intern helps ensure materials and property assets are properly received, documented, stored, maintained, and distributed in accordance with The Dewberry standards.

KEY RESPONSIBILITIES:

  • Document daily deliveries and shipments and maintain accurate inventory records. 
  • Receive deliveries, verifying quantities, condition, and accuracy against applicable receiving documentation. 
  • Ensure all received OS&E, FF&E, supplies, and equipment are properly stored, protected, and maintained in appropriate conditions. 
  • Distribute deliveries, supplies, and requested items to the appropriate hotel departments and outlets. 
  • Assist with the organization and management of off-site storage facilities. 
  • Coordinate the movement and transportation of goods between the hotel and off-site storage locations. 
  • Prepare and maintain receiving reports, storage records, movement requests, and other inventory-related documentation. 
  • Monitor inventory and attic stock levels to identify shortages and replenishment needs. 
  • Assistwith ordering supplies based on established inventory levels and operational needs while minimizing shortages and excess inventory.
  • Monitor the organization and condition of stored inventory and assist with storage and organization projects throughout the hotel. 
  • Assist with end-of-month inventory counts, reconciliation, adjustments, and data entry. 
  • Maintain receiving and storage areas in a clean, safe, and organized manner. 
  • Communicate receiving, inventory, storage, and supply needs or concerns to the appropriate departments. 
  • Cross-train periodically with the accounting department to understand the relationship between purchasing, receiving, inventory control, invoicing, and financial processes. 
  • Perform additional purchasing, receiving, inventory, and operational duties based on the needs of the hotel.

QUALIFICATIONS: 

  • Strong organizational skills and attention to detail.
  • Ability to maintain accurate records and documentation.
  • Ability to prioritize multiple tasks in a fast-paced hotel environment.
  • Strong written and verbal communication skills.
  • Ability to work collaboratively with multiple departments.
  • Basic proficiency with Microsoft Office, including Excel.
  • Ability to work independently with appropriate direction.
  • Interest in hospitality operations, purchasing, inventory management, supply chain, accounting, or a related field.
  • Ability to safely assist with the handling, organization, and movement of supplies, equipment, and property assets as required by the position.
