Position Summary:

This job is responsible for providing diverse and confidential administrative support, including extensive calendar management. Key responsibilities include supporting management with administrative tasks, coordinating travel arrangements, processing expenses, gathering and reporting information relevant to/for the executive, and responding to incoming mail. Job expectations will include assisting with organizing in-person meetings and off-sites and managing different and conflicting objectives, projects, or activities in a responsive and personable manner.

The Executive Assistant will primarily be responsible for providing important administrative and business support for senior leadership, including calendar management, meeting coordination, business travel management, expense processing and email monitoring. In addition, the role will include organization of in-person meetings, team offsites, and handling of general requests to assist executive in meeting preparation and management needs. The role will require confidentiality and discretion, and ability to manage different and conflicting objectives and requests in a responsive and personable manner.

Required Qualifications:

  • 3+ years of experience providing administrative support, to senior leadership or executives
  • Communicates with executives and line management to gather and convey relevant information
  • Advanced skills in Outlook and other MS Office programs (Excel, Word, PowerPoint and Teams)
  • Advanced knowledge of Bank of America systems including Concur, GEP SMART, Corporate Travel Services, MyFacility, visitor access system, etc.
  • Manages the calendar of multiple stakeholders proactively, effectively resolving conflicts that arise in a professional manner
  • Manages all travel planning and expenses, coordinating schedules for executive to maximize time and create efficiencies
  • Prepares meeting minutes and related meeting documents, utilizing written and oral communication skills
  • Liaises with outside groups to coordinate events where the executive is a corporate chair, director, or committee member
  • Must have prior or current work experience as an Executive Administrative Assistant or comparable level of experience with advanced administrative and analytical skills
  • Engages in high-level client contact and supports conversations related to sensitive information, utilizing considerable diplomacy and judgment
  • Polished and professional in phone and email communications
  • Excellent time management, organization, and multi-tasking skills
  • Exceptional analytical, problem-solving and organizational skills
  • Team player with exemplary work ethic that thrives in a fast-paced environment
  • Ability to interact with senior management under highly demanding conditions
  • Strong attention to detail, ability to work effectively under pressure and time constraints
