Facilities Coordinator

Charlotte, NC | Full-time | Onsite | $26 to $28 per hour base pay, plus bonus plan (OTE of $65,000 to $70,000 per year) | 8am to 8pm shifts 3 days/week, plus on-call availability every 3rd week

Modern Construction Services is a certified WBENC women-owned commercial construction and facilities maintenance company, headquartered in Charlotte and serving clients nationwide. We're hiring a Facilities Coordinator to run our facilities maintenance work orders from the first call to the final invoice.

This is a high-volume, fast-moving seat. You'll manage a full board of work orders at once: confirming the scope, matching the right vendor, pricing the job, and staying on it until it's done right and paid. If you've dispatched for a roofing, plumbing, or restoration company, or worked another high-volume, customer-facing role where you had to read urgency and move fast, this role will feel familiar.

This is also a great fit for continuous learners. You'll be energized by picking up new systems and skills rather than doing the same thing every day, and there's a clear path forward: master this seat and you can grow into managing more complex work orders within a designated book of business with higher earning potential.

What you'll do

•      Own assigned work orders from intake to close, keeping each one on time, on budget, and to a quality standard

•      Assess what each customer needs and how urgently, then prioritize your board accordingly

•      Confirm every work order has a clear scope, with photos and detail, before work starts

•      Match the right local vendor or subcontractor to each job based on trade, availability, and scope

•      Schedule vendors, serve as their point of contact on site, and confirm the work is done to standard

•      Communicate proactively with customers on scheduling, progress, and any delays

•      Price work to our margin standards and get required approvals before work begins

•      Process customer and vendor invoices accurately and on time

•      Keep client portals and our internal systems aligned

This may not be the right seat if

•      You want to be out in the field. This is a desk-based role, working the phones and your systems all day.

•      You prefer to focus on one task at a time. This seat runs a full board of work orders across multiple clients at once.

•      You'd rather be handed each step than make the call yourself. You'll be trusted to size up a request and decide the next move.

•      The schedule doesn't work for you. In addition to your regular shifts, this role includes on-call availability every third week. On-call averages approximately 10 hours per week.

What you bring

•      2+ years in a high-volume, fast-paced, customer-facing role where you assessed needs and urgency

•      Excellent attention to detail and comfort managing documentation and compliance

•      Strong problem-solving skills and sound judgment on priorities

•      Clear written and verbal communication

•      Comfort in Microsoft Office and the ability to learn new systems quickly

•      A proactive approach to your own learning and professional development

Nice to have

•      Familiarity with plumbing, HVAC, electrical, or general repairs, enough to scope a job and know when to call a specialist

•      Experience pricing or quoting work

•      Experience with a maintenance management system (Fexa, eMaint, ServiceChannel, FMX, Hippo, or similar)

•      Bilingual in English and Spanish

•      A bachelor's degree, trade school certificate, or industry certification in a related field

•      $26 to $28 per hour base pay, based on experience

•      Bonus plan with real upside, plus an annual company performance bonus, on-target earnings of $65,000 to $70,000 per year
