Why This Role Matters

At LOVING, our Inventory & Fleet Coordinator plays a critical role in ensuring every crew starts the day fully equipped, organized, and ready to succeed. This position is ideal for someone who thrives on structure, takes pride in operational excellence, and enjoys being the behind-the-scenes force that keeps everything moving. You’ll lead nightly loading, inventory coordination, and fleet prep with precision and care, making sure our trucks roll out damage-free and our systems stay tight.

What Success Looks Like

  • Print loading documents, prepare pull sheets, verify accuracy, and place all required paperwork in vehicles for morning rollout.
  • Pull, stage, and load all materials and equipment needed for next-day jobs; manage overflow when trucks are full and communicate adjustments to leadership in real time.
  • Enter all crew returns into the system, return items to correct inventory locations, report shortages, and identify restock needs before they impact production.
  • Be present with crews during loading, ensure accuracy and safe handling, confirm all post-trip inspections are completed, and immediately report vehicle or equipment damages.
  • Keep the yard, warehouse, and loading zones organized and safe; prevent non-quality materials from being loaded; and communicate issues quickly so plans can be adjusted.
  • Fuel all trucks and equipment (including bobcats, sod rollers, and other machinery) and assist with staging vehicles for an efficient morning rollout.
  • Record all received materials into work orders and verify each crew has the correct tools, machinery, and supplies listed on the crew board.
  • Keep gravel out of the street, empty office trash nightly, sweep weekly, and secure all buildings, gates, and vehicles at the end of each shift.
  • Identify low-stock items, material shortages, or recurring issues and escalate them early to support uninterrupted operations.
  • Ensure all materials are handled without damage, monitor safe work habits, reinforce company procedures, and lead by example during loading operations.
  • Partner with crew leaders to confirm readiness, answer questions, resolve issues before rollout, and keep nightly operations running smoothly.
  • Identify opportunities to streamline loading processes, improve efficiency, reduce errors, and strengthen daily operational performance.
  • Perform other responsibilities as assigned that support the mission and core values of LOVING, ensuring alignment with our culture of community, integrity, and impact.

What Sets You Apart

  • Must be able to pass a background check, drug screen, three‑year MVR review, and DOT medical exam
  • Strong attention to detail and organizational skills
  • Clear communication and teamwork with crew leaders, managers, and teammates
  • Ability to work independently while guiding crews during loading and staging
  • Physical capability to assist with materials and equipment, with safe handling practices
  • Comfort with paperwork, inventory systems, and operational processes
  • Proactive mindset to anticipate challenges and improve efficiency
  • Spanish speaking highly preferred
