We’re nationally accredited and guided by a trauma-informed model of care to make our clients feel safe, supported, and empowered.     Summary:  Operates multiline telephone system to answer incoming calls and directs callers to appropriate personnel by performing the following duties. Essential Duties and Responsibilities: •    Retrieves messages from voice mail and forwards to appropriate personnel. •    Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department. •    Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable. •    Answers questions about organization and provides callers with address, directions, and other information. •    Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel. •    Monitors visitor access and maintains client confidentiality. •    Receives, sorts, and routes mail; uses postage machine to post outgoing mail. •    Orders, receives, and maintains office supplies. •    Orders flowers for clients after delivery. •    Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary. •    Performs other clerical duties as needed, such as filing, photocopying, and collating. Essential Functions: •    Operate a multi-line telephone system to answer incoming calls promptly, determine caller needs, and direct calls to appropriate personnel or departments. •    Retrieve, record, and accurately relay voicemail messages in a timely and professional manner. •    Provide accurate information to callers regarding the organization, including directions, contact information, and general inquiries. •    Greet and assist on-site visitors, determine the nature of their visit, and notify appropriate staff while maintaining a welcoming and professional environment. •    Monitor visitor access to the facility and maintain confidentiality of clients, staff, and organizational information. •    Receive, sort, and distribute incoming mail; prepare and process outgoing mail using a postage machine. •    Order, receive, and maintain office and front desk supplies within established procedures. •    Coordinate flower orders for clients following delivery as directed. •    Prepare, create, and print routine documents such as fax cover sheets, memos, correspondence, and reports. •    Perform general clerical duties including filing, photocopying, scanning, and collating documents. •    Maintain an organized, clean, and professional front desk and reception area. •    Communicate effectively and professionally with staff, visitors, and callers at all times. Physical Requirements: •    Ability to sit for extended periods while answering phones and performing clerical tasks. •    Ability to stand, walk, and move throughout the reception and office areas as needed to greet visitors or deliver items. •    Ability to use hands and fingers for keyboarding, writing, handling mail, and operating office equipment such as phones, printers, copiers, and postage machines. •    Ability to read and interpret written materials, computer screens, and phone displays. •    Ability to communicate clearly and effectively in person and by telephone. •    Ability to occasionally lift, carry, or move office materials or supplies (generally up to 25 pounds). •    Ability to maintain focus and multitask in a fast-paced front desk environment.
