JOB SUMMARY: The purpose of this position is to administratively support the Chairman in his efforts to accomplish the company’s goals and objectives. The candidate for this position will perform a variety of high-level office support and administrative functions that require an in-depth knowledge of assigned program areas, discretion, and independent judgment. Additional Executive support to the Chief Executive Officer and Chief Operating Officer. Work is diverse; requiring the ability to establish priorities, interpret conflicting data, and redirect efforts with little forewarning.

CORE RESPONSIBILITIES:

  • Coordinate and schedule meetings/conference calls
  • Attend meetings and conferences to furnish information and take notes
  • Organize and implement new administrative processes
  • Schedule travel arrangements/meeting planning
  • Receive and screen telephone calls and visitors for C-Suite Executives 
  • Read and route incoming mail
  • Maintain all files and records for Chairman
  • Liaison between employees, company executives, and outside firms
  • Coordinate payment of vendor invoices and expense reimbursements

  • Excellent organizational skills
  • Must be highly advanced in MS365 applications (Word, Excel, Outlook and PowerPoint, and in the use of the Internet)
  • The employee must occasionally lift and/or move up to 10 lbs.
  • Specific vision abilities required by this job include close vision
  • Must be able to sit or stand for long periods of time
  • The employee is regularly required to talk and hear
  • The person in this position needs to occasionally move about inside the office
  • Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.

OTHER REQUIREMENTS:

  • Bachelor’s Degree
  • 8+ years of direct executive admin experience within the C-suite level
