Position Overview: The Business Office Administrative Assistant provides administrative, financial, and operational support to the school’s Business Office and Head of School. This position serves as a key point of contact for parents, faculty, staff, and visitors while assisting with daily financial operations, billing support, and office management responsibilities. The ideal candidate is highly organized, service-oriented, detail-focused, and able to manage confidential information with professionalism and discretion. This position supports the mission of Chattanooga Christian School: preparing students to lead and serve with distinction while representing Christ and seeking His Kingdom in all areas of the home, church, society, and culture. Essential Duties and Responsibilities: Financial & Business Office Support Process and reconcile purchasing card (P-Card) transactions and documentation Assist with accounts payable processing, including invoices, coding, and payment tracking Manage bank deposits and withdrawals Assist families with parent billing questions and account support Process tuition deposits and maintain accurate records Maintain organized financial and administrative files Assist with collecting and reviewing I-9 documentation as needed. Administrative & Front Office Support Serve as the front office point of contact by greeting visitors, answering doors, and assisting parents and guests Manage incoming and outgoing mail and deliveries Monitor and order office supplies and maintain inventory Provide administrative support to the Head of School, including calendar management and scheduling assistance Support general office operations and special projects as assigned  Qualifications Previous administrative, bookkeeping, business office, or school office experience preferred Strong organizational and multitasking skills Excellent interpersonal and customer service skills Ability to handle sensitive and confidential information with discretion Proficiency in Microsoft Office and/or Google Workspace Experience with billing, accounting, or financial systems preferred Ability to communicate clearly and professionally with various constituents Detail-oriented with strong follow-through Success Indicators: Success in this role will be demonstrated through: Accurate, timely, and organized support of daily business office operations and financial processes. Professional, warm, and responsive interactions with parents, employees, students, visitors, and external partners. Well-maintained administrative systems, records, files, and office workflows. Effective coordination and support of purchasing card reconciliation, billing support, deposits, and administrative processes. Strong customer service and problem-solving support for families and employees interacting with the Business Office. Consistent attention to detail and accuracy in handling financial documentation, records, and confidential information. Dependable front-office support that contributes to a welcoming and organized environment. Effective administrative support for the Head of School and Business Office leadership. Positive collaboration with colleagues and contribution to a professional, service-oriented team culture.
