Receptionist / Office Coordinator

The Receptionist / Office Coordinator serves as the first point of contact for visitors, clients, and staff while supporting the day-to-day operations of a busy office environment. This role is responsible for front desk reception, meeting and catering coordination, café and kitchen inventory management, visitor hospitality, and administrative support for operational and facility-related activities. The ideal candidate is highly organized, customer-service oriented, and able to manage multiple priorities in a fast-paced workplace.

 

Key Responsibilities:

  • Greet and assist visitors, clients, and employees in a professional and welcoming manner.
  • Answer and direct incoming phone calls and manage general office communications.
  • Coordinate conference room scheduling, meeting setup, and catering arrangements.
  • Manage cafĂ©, kitchen, and breakroom supplies, including inventory tracking and vendor coordination.
  • Support office operations, facilities logistics, and administrative projects as assigned.
  • Assist with mail distribution, deliveries, and office supply procurement.
  • Provide administrative support to management and operational teams as needed.


KNOWLEDGE, SKILLS and ABILITIES:

  • Strong oral and written communication skills
  • Ability to define problems and offer solutions
  • Strong organizational skills and attention to detail
  • Strong knowledge of Microsoft Office products
  • Ability to work in groups as well as individually
  • Knowledge of administrative and clerical procedures
  • Strong ability to multitask

EDUCATION/EXPERIENCE:

  • High School Diploma
  • Minimum of two (2) years’ office experience preferred

PHYSICAL DEMANDS AND WORKING ENVIRONMENT:

While performing the duties of this job, the employee occasionally works in the field and may be exposed to outside weather conditions for setup of special occasions. Work requires frequent and prolonged computer use. May require occasional lifting up to 25 pounds.
