Overview

The Administrative Assistant performs various administrative and office support activities for the office.  The position includes:

Responsibilities

• Answer multi-line telephone system and direct calls accordingly.• Receive and direct clients and/or visitors.• Responsible for document and plan reproduction, word processing, and sending faxes.• Assist in preparation and finalization of client proposals.• Prepare and coordinate reports and engineering submission packages.• Maintain office documents and environment.• Schedule meetings and conference calls as required.• Handle daily distribution of external and internal mail. Ensure outbound mail is processed timely.• Perform other duties as assigned.

Qualifications

• High School Diploma required; Associate’s Degree or Business School Certificate a plus.• 2+ years’ experience in an office environment and/or administrative role required.

• Proficient in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint.• Well-organized and highly motivated.• Excellent written, oral communication and customer service skills.• Must be able to prioritize work and multi-task.• Self-starter who can work independently and with team members.• Critical thinking skills and the ability to problem solve are a must.
