Overview
We are seeking a detail-oriented and organized Administrative Assistant to support our healthcare team at the Laramie County Detention Center located in Cheyenne, Wyoming. This position plays a vital role in maintaining medical records, coordinating outside appointments, processing release of information requests, and providing administrative support to ensure efficient healthcare operations within a correctional setting. The ideal candidate is professional, dependable, and able to maintain strict confidentiality while working in a fast-paced environment.
Responsibilities:
- Scan and upload paper documents into the electronic medical record (EMR).
- Review medical records for accuracy and completeness before scanning.
- Process and track Release of Information (ROI) requests and maintain HIPAA documentation logs.
- Monitor outstanding records requests and reconcile records received from outside providers.
- Coordinate approvals and scheduling for outside medical appointments.
- Maintain confidentiality regarding patient appointments and protected health information.
- Assist with administrative functions including:
- Tracking statistical and operational data
- Faxing medical record requests
- Reconciling incoming records
- Inventorying and ordering medical and pharmaceutical supplies
- Prepare packets and supporting documentation for quality improvement, infection control, and medical advisory committee meetings.
- Attend mandatory monthly staff meetings and other meetings as requested by the Health Services Administrator (HSA), including taking meeting minutes.
- Work collaboratively with healthcare staff, detention center personnel, and leadership.
- Follow all facility policies, PREA standards, and established chain of command.
- Must comply with all County policies and procedures regarding security and inmate interactions.
- Must adhere to HIPAA regulations and confidentiality standards.
- Perform other duties as assigned.
Qualifications:
- High school diploma or GED required.
- Previous administrative, medical office, healthcare, records management, or clerical experience.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Proficiency with Microsoft Office and electronic record systems preferred.
- Ability to maintain confidentiality and professionalism in a secure environment.
- Strong written and verbal communication skills.
Shift Details:
- Full-Time, Monday-Friday: 8:00am-4:30pm
