Position Overview We are seeking an organized, customer-service-oriented Bilingual Enrollment & Administration Clerk to support enrollment, family engagement, and administrative operations at our Early Learning Center. This role plays a critical part in ensuring compliance with Enrollment, Recruitment, Selection, Eligibility, and Attendance (ERSEA) requirements while creating a welcoming experience for families and visitors. The Bilingual Enrollment & Administration Clerk serves as a key liaison between families, program staff, and community partners, supporting enrollment goals, maintaining accurate records, and helping families access resources that support student success. This position requires fluency in both English and Spanish to effectively communicate with and serve our diverse families and community members. Key Responsibilities Enrollment & ERSEA Administration Lead recruitment and enrollment efforts to maintain full program capacity Guide families through the enrollment process and ensure all required documentation is collected and maintained Ensure compliance with Head Start, Preschool for All, and other funding requirements Maintain accurate enrollment, attendance, and eligibility records in designated systems Monitor attendance and implement follow-up procedures for absenteeism Prepare enrollment, attendance, and compliance reports as needed Represent ITAV at community recruitment events and outreach activities Translate enrollment materials and assist Spanish-speaking families throughout the enrollment process Reception & Administrative Support Serve as the first point of contact for families, visitors, and staff Answer phones, manage incoming communications, and direct inquiries appropriately Provide verbal and written communication in both English and Spanish Maintain a welcoming, organized, and professional reception area Manage visitor sign-in procedures and building access protocols Support file management and record retention in compliance with organizational policies Assist with mail distribution, package deliveries, inventory management, and office organization Provide administrative support to Site Directors and other school leaders Family & Community Engagement Support communication with families regarding enrollment, attendance, and school events Partner with the Family Support team to connect families with available resources and services Assist with family engagement activities, events, and parent meetings Maintain accurate documentation of family interactions and support services Serve as a language resource for Spanish-speaking families and community partners Operational Support Support site-based projects and organizational initiatives Assist with data entry, reporting, and compliance documentation Collaborate with staff across departments to ensure efficient operations Perform additional duties as assigned to support site and organizational needs Why Join ITAV? QualificationsRequired: High school diploma or equivalent Minimum of 3 years of experience in enrollment, administration, customer service, or a related field Fluency in spoken and written Spanish and English Ability to translate documents and communicate effectively with Spanish-speaking families Strong organizational, communication, and customer service skills Proficiency with Google Suite and data management systems Preferred: Associate degree in Early Childhood Education, Business Administration, or related field Experience working in an early childhood, education, nonprofit, or social services setting Familiarity with Head Start, Early Head Start, Preschool for All, or ERSEA requirements  Physical Requirements Ability to sit, stand, and use office equipment for extended periods Ability to lift and move office supplies and materials up to 50 pounds Ability to travel occasionally for recruitment and community engagement activities Who You Are Mission-Driven: You are passionate about educational access, equity, and family engagement.
