Summary

Harbor Capital Advisors, Inc. ("Harbor Capital") is seeking a Manager, Fund Administration Operations to join its Fund Administration and Analysis team. The Manager leads Harbor's Fund Administration Operations function, focusing on process improvement, technology-enabled solutions, operational controls, and service provider oversight that support the firm's mutual funds and exchange-traded funds (ETFs).

This role is responsible for identifying opportunities to enhance workflows through automation, data analytics, AI-enabled solutions, and other technologies to improve efficiency, strengthen oversight, reduce operational risk, and increase scalability. Working closely with internal stakeholders and third-party service providers, including custodians and administrators, the Manager also provides leadership and development for an Investment Operations Analyst while fostering a culture of accountability, collaboration, and continuous improvement.

The ideal candidate brings deep fund administration and investment operations experience, a strong understanding of registered investment products, demonstrated leadership skills, and a passion for leveraging technology to modernize operations and deliver operational excellence.

Key Responsibilities

  • Drive process optimization through automation, AI-enabled solutions, Power BI, Tableau, and other technologies to improve efficiency, scalability, data quality, and operational oversight.

  • Lead, coach, and develop an Investment Operations Analyst by setting priorities, providing ongoing feedback, and fostering growth.

  • Support security valuation processes and Valuation Committee escalation, including availability during end-of-day processing windows to address issues and resolve exceptions.

  • Manage the operational oversight of fund custodians and administrators, including monitoring service delivery, reviewing operational exceptions, tracking open issues, and driving process enhancements.

  • Maintain a strong understanding of fund financial reporting, expense accruals, and fund operational processes to effectively oversee service providers, identify operational risks, and support cross-functional initiatives.

  • Support firm growth by leading Fund Administration Operations support for new fund launches by coordinating with internal stakeholders and custodian to ensure operational readiness, timely execution, effective issue resolution, and a smooth launch process.

  • Mentor Fund Administration team cross-functional members on automation opportunities, technical skill development, and process improvements.

  • Identify opportunities to strengthen operational controls, enhance workflows, and improve the scalability and resilience of the Fund Administration Operations function.

  • Collaborate with Technology, Compliance, Legal, Product, and other internal stakeholders to implement operational enhancements and support strategic initiatives.

  • Perform additional responsibilities as assigned.

Minimum Qualifications

  • Bachelor’s degree in Accounting or Finance.

  • 5–7+ years of fund administration experience.

  • Experience with ‘40 Act mutual funds or ETFs within the investment industry.

  • Previous experience leading projects, process improvement initiatives, and direct reports preferred.

  • Experience with Power BI, Tableau, or AI tools for automation required.

Knowledge, Skills & Abilities Required

  • Strong understanding of mutual fund and ETF operations, fund administration, and service provider oversight.

  • Demonstrated ability to identify, implement, and manage process improvements through technology, automation, and data analytics.

  • Experience developing dashboards and operational reporting using Power BI, Tableau, Excel, and AI-enabled tools.

  • Knowledge of mutual fund and ETF daily valuation processes, including pricing oversight, exception review, fair valuation support, and related control activities.

  • Strong analytical, organizational, and problem-solving skills with exceptional attention to detail.

  • Operational mindset with a strong focus on risk management, controls, and continuous improvement.

  • Excellent communication, relationship management, and leadership skills with the ability to influence across teams and external service providers.

Compensation Pay Range: $130,000-$150,000
