Office Assistant

As our Administrative Assistant, you’ll be the supporting face, voice, and operational pulse of our team. You’re the first person guests meet, the glue keeping our admin and production teams aligned, and the go-to problem solver who keeps daily operations smooth, organized, and running without a hitch.


What You’ll Do


1. Welcome Crew & Front Office Vibe

Set the Tone: Greet visitors, vendors, and team members with a warm, professional, and welcoming attitude.

Master the Switchboard: Answer calls cleanly and efficiently so everyone gets the information they need in a timely manner. 

Keep Space Clean & Compliant: Maintain a sleek reception area while ensuring all guests complete safety and sign-in check-ins seamlessly.


2. Admin & Production Hustle


Leadership Support: Partner directly with our Office Coordinator on daily tasks and high-priority special projects.


Production Prep: Print, assemble, and distribute production work orders and product labels to keep our supply chain moving.


Core Logistics: Handle essential office duties—scanning, filing, organizing, and digitizing records so everything stays accessible.



3. Inventory & Gear Management


Uniform Logistics: Keep track of production and office uniforms—receive orders, double-check counts, track inventory, and handle service discrepancy reports.


Safety Gear Stocking: Ensure safety essentials (face masks, hair nets, and full PPE) are fully stocked and available for team members every day.


Smart Tracking: Assist with digital inventory entry for key production materials.


4. Tag-Team Backup Coverage


Keep Operations Flowing: Step in as the primary backup for the Office Coordinator during scheduled PTO or dynamic shifts so our workflows never miss a beat.


Requirements

What We’re Looking For


The Basics: (Required)

  • Must be 18 years or older
  • HS Diploma or Equivalent
  • Authorized to work for any US employer without sponsorship now or in the future


People Skills: Natural communicator who loves delivering exceptional customer service and working with diverse teams.


Tech-Savvy Basics: Comfortable navigating Microsoft Office (Word, Excel, Outlook) and quick and eager to learn our ERP production and inventory module (with training). 


Detail-Oriented & Organized: You notice the little things, love a well-organized file system, and can effortlessly juggle shifting priorities.


Trustworthy & Reliable: You hold high standards for confidentiality, handle sensitive company data responsibly, and show up consistently.


Positive Energy: Bring a proactive, solution-oriented mindset and professional demeanor to work every day.
