At our rapidly growing practice, Midwest Cardiovascular Institute (MCI), we are seeking a highly motivated Patient Service Representative Team Leader to join our team! You will serve as the first point of contact for patients and visitors, providing exceptional customer service and administrative support to ensure the smooth operation of the office. You are responsible for managing employee, doctor schedules and patient appointments, coordinating patient inquiries, maintaining accurate records, and assisting in various administrative tasks.

What you’ll do:
Oversee patient reception and ensure positive patient interactions for services such as visits and diagnostic testing.
Manage daily schedules and coordinate with physicians, nurses, and department leaders to maintain efficient patient flow and provider workflow.
Resolve scheduling issues and patient concerns using system tools.
Perform front desk duties as needed, including check-in/out, scheduling, and chart prep.
Supervise Patient Services staff, including:
Training and onboarding new team members
Providing guidance and support
Fostering a positive team environment
Coaching for performance and teamwork
Conducting performance evaluations and counseling as needed
Managing staffing levels and approving time-off requests
Ensuring staff compliance with tools, policies, and procedures
Serving as a liaison among staff, physicians, Practice Administrator, and other leaders
Maintain secure cash handling procedures.
Communicate issues or suggestions to the Practice Administrator.
Support electronic health record processes, including SRS scanning.
What you’ll need:
High school diploma or equivalent; additional education or medical office certification is a plus
Proven experience as a receptionist or in a customer service role, preferably in a healthcare setting
Familiarity with medical terminology and procedures
Strong interpersonal and communication skills
Proficiency in using scheduling software, electronic health records (EHR) systems, and basic office software (e.g., Microsoft Office)
Excellent organizational skills and attention to detail
Ability to multitask and handle a fast-paced environment
Empathetic and patient-focused approach
Professional appearance and demeanor
Athena experience preferred
Additional Information
Full-time hourly range of $17-$22 per hour plus medical, dental, and vision benefits. This role will include a matching 401K, 12 days Paid Time Off, and 8 Paid Federal Holidays.
Work Location
You will work out of the Hinsdale, IL located at 333 West Chestnut, Suite 100.
