U.S. Legal Support is seeking a Legal Documentation Specialist to join our team in Chicago, Illinois. This role is responsible for managing, organizing, and processing legal records and documentation while ensuring accuracy, confidentiality, and timely delivery of materials to both internal teams and clients. The ideal candidate has exceptional attention to detail, strong organizational skills, and a commitment to providing outstanding service.

Key Responsibilities

  • File, organize, and maintain various forms of legal media and records.
  • Retrieve and route requested files to internal departments and clients.
  • Maintain an accurate record checkout and tracking system.
  • Create, manage, and update electronic and imaged records.
  • Scan documents into digital repositories and drop boxes.
  • Apply Bates stamps to records for identification and tracking purposes.
  • Burn CDs, create copies, and bind legal documents for client delivery.
  • Perform quality control reviews to ensure accuracy and completeness of records and productions.
  • Handle confidential information with professionalism and discretion.
  • Support day-to-day records management and document production activities.

Qualifications

Required

  • High School Diploma or GED.
  • Minimum of 1 year of relevant administrative, records management, legal support, or document handling experience.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple priorities while meeting deadlines.
  • Proficiency with scanning, filing, and digital document management systems.
  • Ability to handle sensitive and confidential information with discretion.

Preferred

  • Experience working in a legal, healthcare, insurance, or professional services environment.
  • Familiarity with document production, records management, or litigation support processes.
